The Opportunity
This is an opportunity for a proactive Administrator to support four high‐performing agents across both sales and leasing transactions, ensuring campaigns and documentation run seamlessly from listing through to settlement. For the right individual, there is genuine scope to grow within the business. Over time, this position has the potential to evolve into a broader Operations Manager role, taking on increased responsibility across team coordination, compliance oversight, systems implementation, financial reporting, and overall office operations. It presents a clear pathway for someone looking to develop leadership capability while contributing to the continued growth of the commercial division.
Sales Administration
* Preparing agency agreements, listing documentation and contracts
* Coordinating marketing campaigns including online listings, signboards and brochures
* Preparing Information Memorandums and marketing collateral
* Managing buyer enquiries and maintaining CRM accuracy
* Assisting with contract exchange and settlement coordination
Leasing Administration
* Preparing leasing proposals and Heads of Agreement
* Drafting and coordinating lease documentation
* Tracking critical lease dates including options and rent reviews
* Managing tenant applications and onboarding documentation
* Maintaining lease schedules and tenancy reporting
Marketing & Reporting
* Uploading and managing listings across property portals
* Preparing weekly sales and leasing activity reports
* Supporting database management and EDM campaigns
* Assisting with appraisal and pitch documentation
General Support
* Coordinating inspections and managing agent diaries
* Liaising with solicitors, tenants, buyers and service providers
* Processing invoices and tracking marketing budgets
* Ensuring compliance documentation is accurate and up to date
About You
* Previous sales and leasing contract administration experience (commercial property highly regarded)
* Strong attention to detail and ability to manage multiple deadlines
* Confident using Microsoft Office and CRM systems
* Excellent written and verbal communication skills
* A proactive, team‐oriented mindset with a willingness to take ownership
