In this role, you work closely with the Integrated Work Package (IWP) Lead and support Program Lead's to ensure timely and accurate establishment of project documentation, and execution and delivery of projects to completion. Drawing on strong foundations of project management principles, this role will provide essential administration and governance support across multiple projects.Responsibilities:Responsible for providing designated administrative and coordination support and managing the day-to-day operations of IWP Projects and direct assistance to the IWP Leadwith support to contract documentation and delivery.Coordinate project schedules, tasks, meeting updates and efficient distribution of reports.Track progress of plans with project managers; report to key stakeholders on status and progress.Coordination and/or support of project meetings including the composition and distribution of agendas, minutes, and action items, the organisation of resources, and other ad hoc requirementsTrack finance performance, and other requirements as needed of the IWPDraft responses to RFIsand other documentation / reporting requirements as neededManage incoming and outgoing communication and information for the IWPOrganise, review and coordinate project documentation within the data management systemsSupport preparation and management of project, management, and customer reports including review packs, and weekly, monthly and quarterly status reports.Administration for staff that includes, but not limited to, on-boarding and off-boarding, travel acquittal, timesheetsCoordination of IWP meetings and functionsGeneral other duties as directedAs the ideal candidate you will bring:Defence Security Clearance - Baseline (or higher).Well-developed understanding of project management principles, including scheduling, tracking and status reporting.2 years (minimum) relevant experience in a project coordination and administration roleHigh level interpersonal skills and a demonstrated ability to manage and coordinate multiple tasks effectively and efficiently.Proven ability to work in a high-pace environment and complete work on time and with accuracy, coupled with excellent written and oral communication skills.Proficiency with Microsoft Office suite of products and an aptitude to learn and apply alternate software packages; ability to analyse and disseminate data in reports.What we will offer you:A workplace culture certified as a Great Place To WorkFlexible workingCompetitive salary (including annual reviews)Paid parental leaveIncome protectionCorporate rewardsSalary packaging/Novated leasingEmployee stock purchase plansFlu shots, skin checks and discounted private health insuranceCareer development: Online learning, mentorship and career pathwaysIf you’re ready to shape tomorrow, let’s get started.
