Overview
Too Good To Go aims to inspire and empower everyone to fight food waste. Our marketplace connects businesses with surplus food to consumers at around one third of retail value. We are a certified B-Corp with a global community of users and partners and a growing presence in Australia. We are seeking a Workplace Experience Coordinator for our Melbourne office. This is a 50% part-time role with Friday as a crucial office day.
Responsibilities
* Serve as the primary point of coordination for Too Good To Go's Melbourne office and coworking spaces in other locations. Manage space planning, town hall setup, and address space-related issues in partnership with coworking providers.
* Operations & Budgeting: Oversee daily office administration and finances, including ordering supplies, expense tracking, budgets, invoice approvals, forecasting costs (e.g., IT and office space), processing office invoices, coding, and payment approvals.
* Employee Support & Onboarding: Act as a daily resource for the team and a local face of People & Culture. Coordinate lunch orders and participate in parts of the onboarding/offboarding process with the Global P&C team (e.g., payroll documents, laptop setup).
* Hardware & Phone Management: Distribute and manage inventory of IT equipment and mobile devices.
* Event Planning & Engagement: Plan and execute company events and celebrations, include all locations, support office visitors, organize Townhall viewings, and collaborate with the DEI Taskforce for local activities and social events.
* Sustainability & Process Improvement: Identify and implement sustainability initiatives and contribute data for global carbon reporting.
* Workplace Safety: Ensure safety and compliance, coordinate training and equipment for first aid, fire safety, and related requirements.
* Overall Office Management: Manage office contracts, renewals, and potential moves in collaboration with leadership and global procurement; contribute to the Employee Handbook guidelines.
* General Office Operations: Manage day-to-day tasks such as pantry restocking and equipment upkeep.
* Ad-hoc Projects: Lead process improvements and a variety of ad-hoc projects to enhance the workplace experience.
Requirements
* Operational Excellence: Experience in office management, facilities, or similar administrative roles with strong organizational and efficiency focus.
* Logistics & Planning: Project and event management skills with ability to handle multiple tasks and attention to detail.
* Service Orientation: Commitment to a stress-free, low-distraction work environment.
* Budgeting & Finance: Experience tracking expenses and handling invoices accurately within budgets.
* Proactive & Resourceful: Problem-solver who anticipates needs and offers creative solutions.
* Interpersonal Skills: Excellent communication and relationship-building abilities; approachable and professional.
* Sustainability Focus: Passion for sustainability and daily practical actions within the office.
* Attendance: Role requires office presence 4 days a week.
