The Opportunity: Connect and Coordinate
Department: Charity Team Reports to: CEO
What You'll Do: Facilitate, Analyse and Engage
Your key responsibilities will include:
* Stakeholder Relationship Management: Serve as the primary bridge between Stewart House and our network. You will develop close working relationships with Area Co-ordinators (Principals) across NSW and the ACT, liaise with school counsellors and government departments and handle caregiver inquiries with empathy and professionalism.
* Data Integrity and Enrolment: Oversee the accuracy of enrolment data for approximately 84 students per fortnight. This includes collecting and certifying health and educational records, inputting data into Excel and our Student Tracking and Reporting System (STARS) and ensuring all information is accessible electronically 48 hours prior to placement.
* Logistics and Travel Coordination: Manage the complex logistics of student arrivals and departures. You will assist Area Co-ordinators with travel arrangements and collate critical information regarding supervising staff accompanying groups.
* Risk Assessment and Student Safety: Act as a gatekeeper for student wellbeing by monitoring placement data, assessing the need for referrals and flagging students of concern. You will facilitate the fortnightly Student Placement WHS Review meetings and brief the CEO on any anomalies requiring investigation.
* Internal Collaboration: Work closely with the Residential Operations Manager, Residential Wellbeing Manager and the Stewart House School Principal to ensure seamless transitions regarding student arrivals, special needs and departures.
What You'll Bring: Your Unique Contribution
We welcome diverse backgrounds; finding the right person to collaborate with our team is key.
* Exceptional Administration and Organisation: Demonstrated experience in managing complex administrative processes with high attention to detail. You are comfortable managing tight schedules and directing the workflow of administrative support staff.
* Strong Communication Skills: The ability to build rapport with diverse stakeholders—from School Principals to parents and guardians. You can handle sensitive conversations regarding student needs with tact and confidentiality.
* Analytical and Technical Proficiency: Strong literacy in Excel and database management. As you will be working with our custom Student Tracking and Reporting System (STARS), you must possess the technical aptitude to learn new systems quickly and the analytical skills to interpret student information for accuracy.
* Commitment to Safety: A vigilant approach to child safety and risk management, with the confidence to flag concerns and ensure compliance with WHS protocols.
