**Duties & Responsibilities**:

- Assist the Manager, Contract Management and Strategy Unit in the delivery of relevant timely and accurate advice on matters relating to contract management.
- Assist the Senior Contract Managers and Principal Contract Managers to undertake contract administration and governance tasks. This includes contacting and coordinating internal and external stakeholders to receive updated data and documents including certificates of currency of insurances, certificates and qualifications required under the contracts, key performance information reports and invoices.
- Undertake records management functions for physical and electronic files.
- Maintain contract registers including the collection and reporting of data from internal and external resources and coordination of contract related data consolidation.
- Contribute to negotiations with suppliers and liaise with internal and external stakeholders to assist in achieving operational and strategic outcomes.
- Assist in developing procedures and systems for the department that continually improve the efficiency of the planning, implementation and management of supply arrangements and contracts.
- Undertake financial processing duties including accounts payable and monthly accrual journals.
- Assist with the preparation of audit reports, briefs, memorandums, submissions and executive and ministerial correspondence and refer to departmental style guidelines for formatting and grammatical errors and amend where necessary.
- Other duties as directed.

**Job requirements**:

- Must be willing to go through a Criminal History Check
- Experience in administration functions.
- Experience in managing and co-ordinating a wide range of contract management functions.
- Effective oral, written and interpersonal communication skills.
- An interest in the Contract Management and or Governance function/s;
- Demonstrated communication, negotiation and conflict resolution skills and experience liaising with management, staff and suppliers at mid management levels, to gain commitments and negotiate service delivery, priorities, deadlines, resources and other relevant issues.
- Experience with the use of financial management systems (SAP would be an advantage).
- Effective interpersonal skills as evidenced by the ability to build successful relationships with internal clients and external stakeholders with a range of competing interests.
- Demonstrated written communication and research skills including the ability to prepare reports and submissions.
- Productive time management skills and the ability to prioritise tasks as demands arise and with competing priorities.
- Ability to use judgment and discretion with confidential information.
- Demonstrated attention to detail in the preparation and review of detailed documentation.
- Respect for sensitivity and confidentiality of issues and information handled.
- Must be fully vaccinated and must have right to work in Australia.
