Primary objective
Provide a high-level ministerial liaison service to the Department and the Minister's office on a daily basis, liaising with
Cabinet Office, to ensure the Minister and Government are provided with accurate, relevant and timely information to assist
with meeting their statutory responsibilities.
Context statement
The Secretariat team is a busy work unit, dealing with high volumes of correspondence and checking and liaison with senior
Directors and Ministerial staff. A passion for the written word, good attention to detail and a cool, calm manner when dealing
with busy people are highly regarded. Some additional hours will be required during peak busy times.
Key duties and responsibilities
1. Assist in the preparation and coordination of documents such as Cabinet submissions, ministerial briefs, estimates briefs,
newsflashes, election commitment updates and reporting; and provide quality assurance, checking grammar, spelling,
adherence to appropriate standards and formatting requirements.
2. Provide advice and assistance to staff in the preparation of ministerial and Cabinet correspondence and related
documents and processes.
3. Provide a high quality, effective and timely liaison service between the Department and the Ministers' offices, Cabinet
Office, and other NT Government agencies, and maintain strong working relationships.
4. Assist in identifying obstacles or issues in the secretariat systems and processes and offer/initiate practical solutions to
resolve these issues.
5. Extract, analyse and investigate data on Departmental systems; prepare weekly, monthly and ad hoc reports; and
contribute to meeting the Department’s executive reporting requirements.
Selection criteria
Essential
1. An understanding of Ministerial, Cabinet and Parliamentary processes; with the ability to provide effective/professional
advice in relation to established Ministerial processes, requirements and protocols.
2. A high standard of written communication skills, including good proof-reading skills, accuracy, formatting and document
presentation, with attention to detail while working under pressure.
3. High level organisational and administrative skills, with the ability to meet deadlines within tight time constraints, and
the ability to deal appropriately with confidential and sensitive issues and documents.
4. Experience in extracting and analysing data; with the ability to report and present information in a logical and
meaningful manner.
5. Demonstrated ability to be proactive, and to work positively and enthusiastically as part of a small cohesive team.
