Supply planning administrator (melbourne)

This role is responsible for placing orders with vendors and suppliers and monitoring the orders to ensure that materials are delivered in the specified amount of time. Part of the supply chain, the supply planner works to maintain the movement of materials from vendors, suppliers, and internal/external customers.

The role of the Supply Planner requires the ability to remain organized and on top of scheduled shipments and delivery goals at all times.

Principal Duties and Responsibilities

- Arrange for the delivery, assembly, and distribution of inventory.
- Examine documents, materials, and products, and monitor work processes to assess completeness, accuracy, and conformance to company policies and standards.
- Order and maintain inventories of materials and supplies necessary to meet customer demands.
- Confer with department supervisors and other personnel to assess progress and discuss needed changes.
- Participate in projects and initiatives across multiple functional areas and regions as required.
- Follow up with freight forwarding agents on timely shipments of air freight, sea freight status, and delivery position of orders, and advise on appropriate action.
- Communicate any maintenance of stock levels on hand.
- Assist in defining standard operating procedures, work instructions, process flows, and related documentation.
- Recognize and communicate business process improvements and harmonization activities where required.
- Provide documentation and information to account for delays, difficulties, and changes to order estimates and delivery dates.
- Effectively prioritize, pursue, and complete, in a timely manner, both planned and unexpected work assignments.
- Prepare purchasing and accounting paperwork, such as purchase orders and requisitions, and reconcile invoices with purchase orders in preparation for payment processing.
- Correspond with suppliers for quotations and maintain contact with vendors regarding the current status of purchase orders.
- Ensure that all customer orders and restocking orders are processed and distributed in a timely manner.
- Engage with data stakeholders to drive business benefits, including data and business process changes.
- Monitor and control resources and monitor expenditure.
- Create and maintain individual plans/goals that reflect daily, weekly, monthly, and yearly objectives.
- Actively strive to achieve goals and objectives.
- Identify information by categorizing, estimating, recognizing differences or similarities, and detecting changes in circumstances or events.

Knowledge, Skills, and Abilities

- Advanced skills with PC and MS office applications.
- Previous experience with SAP procurement/purchasing and a sound knowledge of SAP.
- Strong analytical and problem-solving skills.
- Previous expediting experience in manufacturing environments.
- Shows a bias for action, is self-motivated, and proactive, works well under pressure to ensure priorities and deadlines are met.
- Demonstrated ability to provide exceptional customer service by responding to and dealing with queries in a timely, efficient, and skilled manner, and is prepared to go the extra mile.
- Ability to communicate effectively with others, both in written and verbal form.
- Demonstrated ability to work independently and/or as part of a team.
- A desire to continually learn and develop new skills as required.

- Knowledge of supplies, equipment, and/or services ordering and inventory control.

- Ability to detect problems and report information to appropriate personnel.

Education and Experience

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. - 3+ years of experience in Expediting/Procurement in an industry-relevant organization is critical.
- 2+ years of customer service/data entry experience is essential.
- Successful completion of VCE or equivalent.
- Additional supply chain qualifications will be viewed favorably but are not critical.
- Experienced in standard parts and stock items.
- Knowledge of supplier’s product range is an advantage.
- Capable of reading bills of materials and checking incoming goods.
- Working knowledge of MS products – SAP is an advantage.
