Executive Assistant to the CEO and Director

Your new role
We are seeking a highly organised and proactive Executive Assistant to the CEO. This role is central to ensuring the CEO's time and communications are managed effectively, with a strong emphasis on calendar management and inbox management. You will be the gatekeeper of the CEO's schedule and correspondence, enabling them to focus on leading the organisation.
This role is a temporary position, commencing on the 8th of December, until the end of March 2026 with a view to permanency.
Key Responsibilities
Calendar Management
* Proactively manage the CEO's diary, scheduling meetings, appointments, and travel with precision.
* Anticipate conflicts and resolve them before they arise
* Ensure the CEO is fully prepared for each engagement with relevant materials and briefings
Inbox Management
* Monitor, prioritise, and respond to emails on behalf of the CEO
* Flag urgent matters and ensure timely follow-up
* Draft and proofread correspondence with professionalism and accuracy
Executive Support & Board Liaison
* Liaise directly with the Board, ensuring smooth communication and coordination between the CEO and Board members.
* Prepare briefing notes and coordinate logistics for Board meetings and related activities.
* Act as the first point of contact for internal and external stakeholders
* Handle sensitive information with discretion and integrity
Event Coordination
* Support the CEO and leadership team in planning and coordinating organisational events.
* Manage logistics, invitations, and stakeholder communications.
* Ensure events run smoothly and reflect the organisation's values and mission
What you'll need to succeed
* Proven experience supporting at Executive or Director level, with a track record of success in a similar role\
* Demonstrated expertise in managing complex calendars and high-volume inboxes
* A proactive nature, with the ability to anticipate needs and take initiative without constant direction.
* A flexible approach, adapting to shifting priorities and responding calmly to unexpected challenges
* Strong communication and interpersonal skills, with the ability to build trusted relationships across all levels
* Proficiency in Microsoft Office Suite and confidence with digital tools
