Where you'll be working
Based at the Institute for Maternal and Fetal Medicine (MFM) in Westmead, you will join a highly specialised tertiary referral service dedicated to improving outcomes for mothers and babies. The service integrates clinical care, ultrasound diagnostics, research and advanced training programs within a collaborative academic health environment. You’ll work alongside leading clinicians, researchers and trainees who are passionate about innovation, education and excellence in women’s health.

What you'll be doing
As Secretary, you will provide comprehensive administrative and secretarial support to the Maternal Fetal Medicine service, ensuring the smooth coordination of clinical, research and training operations. This is a pivotal role requiring initiative, discretion and exceptional organisational skills. In this role you will be required to:
* Manage correspondence, meetings, reports and executive support for the Head of Department and MFM team.
* Coordinate staff rosters (HealthRoster), process leave, TESL and recruitment administration.
* Oversee invoicing, Medicare billing, ordering and research account documentation.
* Maintain accreditation requirements, liaise with ultrasound providers and support RANZCOG training documentation.
* Manage patient files, ethics/governance submissions and laboratory administration.
* You will confidently respond to competing priorities, work autonomously when required and maintain accuracy in a complex medical environment.

Selection Criteria:
* Excellent customer service skills with experience in a clerical/administrative position preferably health related.
* Excellent verbal and written communication skills including an ability to liaise with a range of health professionals.
* Ability to learn new skills within limited time span
* Ability to prioritise, multi-task, meet busy schedules and work autonomously and within a team environment.
* Ability to maintain confidentiality, be adaptable, flexible, and be willing to learn new tasks.
* Demonstrated understanding of medical terminology.
* IT competent including the use of Microsoft Office applications.
* Experience in dictaphone transcription.
