Responsibilities

This position forms part of the College non-teaching administration team. The Human Resources Advisor is responsible directly to the Dean of Finance, working closely with the Principal and College Executive Leadership Team.

As a member of staff, the Human Resources Advisor provides expert advice and operational support across all human resource functions of the College, in accordance with Catholic Education Western Australia (CEWA) policies, relevant legislation and best practice.

The role supports the College in attracting, developing and retaining high-quality staff and contributes to a positive, professional and values-aligned workplace culture. The position requires sound professional judgement, confidentiality, initiative and the capacity to support leaders in managing people, performance, risk and compliance within a Catholic school context.

The Human Resources Advisor plays a key advisory role in supporting the Principal and Executive Leadership Team to make sound, compliant and values-informed workforce decisions by coordinating and overseeing the human resource, industrial relations and compliance functions of the College, ensuring consistency, legal compliance and effective support for leaders and staff.

Duties

* Stewardship & Human Resources Administration
o Coordinate end-to-end recruitment processes for teaching and non-teaching staff, including: Drafting and publishing position advertisements across appropriate platforms.
o Ensuring vacancies are advertised in a timely manner in accordance with CEWA requirements.
o Liaising with the Principal, Executive Leadership Team (ELT) and relevant administrative staff to coordinate interview documentation and panel administration.
o In collaboration with the Principal, ensure all position descriptions are accurate, current, appropriately classified and aligned with College and CEWA expectations.
o Support the panel chair (Principal or ELT member) to ensure: Referee checks are completed in a timely and compliant manner.
o Candidates are formally notified of the outcome of selection processes.
o Prepare, issue and maintain all employment contracts, renewals and contract variations, including coordination of all required payroll and employment documentation.
o Coordinate the timely submission of payroll documentation and system entries to enable CEWA Payroll Services to process College payroll accurately, including: Fortnightly staff payroll, incorporating onboarding and offboarding processes, leave entries, amendments to staff details, payroll adjustments, and superannuation requirements.
o Weekly casual relief payroll, including onboarding, timesheet processing, Working with Children Check and registration validation.
o Manage onboarding and exiting of staff
o Actively monitor the College's leave administration systems to ensure accuracy, compliance with Enterprise Agreements and adherence to the College Leave Procedure.
o Oversee compliance relating to Working with Children Checks, acting as the delegated authority responsible for verification, approval and record maintenance.
o Ensure staff files and HR records are complete, accurate and compliant, including documentation relating to: Employment and payroll
o Professional learning
o Accreditation to Teach / Accreditation to Work
o Child safety, registration and accreditation requirements.
o Coordinate the provision of information to insurers and external bodies to support insurance claims, incident management and return-to-work plans as required.
o Manage requests for statements of service, employment confirmations and Centrelink / Services Australia separation certificates.
o Act as the primary liaison with CEWA Employment Relations on human resource, industrial and workplace relations matters.
o Maintain current knowledge of CEWA policies, procedures and Executive Directives, ensuring consistent and compliant application across College practices and initiatives.
o Support the Principal in the development, implementation and review of a comprehensive College induction program for: New staff, Pre-service teachers, Casual relief staff, Volunteers and contractors
o Assist the Principal and Dean of Finance with staff development and training initiatives, including: Conducting or supporting training needs analysis, Identifying and sourcing appropriate professional learning opportunities, Coordinating training logistics and documentation
o Support Executive Leadership Team processes relating to staff appraisal, review and feedback, ensuring procedural consistency, documentation accuracy and alignment with College values.
o Contribute to the development of a culture of accountability, wellbeing, continuous improvement and professional growth across the College.
* Professional Support & Continuous Improvement
o Provide advice, guidance and support to leaders and staff on human resource and industrial matters.
o Contribute to a positive, collaborative and professional workplace culture.
o Identify opportunities for HR systems improvement and workforce development.
o Undertake other duties as reasonably directed by the Principal.
* Working Hours
o Total 42 weeks per year consisting of 40 weeks of term time and 2 weeks in school holiday time. These 2 weeks in school holiday time includes 4 days prior to the commencement of students in January each year and two days within each of the three school holiday periods.
o Workdays are 8am to 4pm.
o Consideration may be given to a part time role 0.6-1.0FTE
o Conditions may be negotiated with the Principal depending on individual circumstances.
* Qualifications & Skills
o Formal qualifications and/or demonstrated experience in Human Resource Management, Business, Legal Studies or a related field.
o Demonstrated experience providing HR and industrial relations advice in a complex organisational environment.
o Strong knowledge of HR processes including recruitment, induction, performance management and compliance.
o Demonstrated understanding of industrial relations, workplace health and safety, WorkSafe and compliance obligations.
o High-level written and verbal communication skills, with the ability to engage positively and professionally with all stakeholders.
o Proven ability to work collaboratively with senior leaders and across teams.
o Strong organisational skills with high attention to detail and accurate record-keeping.
o Proficiency with payroll systems, HR databases, learning management systems and government portals.
o Ability to exercise sound judgement, discretion and confidentiality.
o Capacity to remain calm under pressure and respond flexibly to changing demands.
o Commitment to the Catholic ethos and values of St John Bosco College.
o Sound working knowledge of relevant Enterprise Agreements (including Fair Work) within the Catholic Education system in Western Australia.
o Knowledge of compliance legislation and accreditation frameworks applicable to Catholic schools in WA.
o Experience in workforce planning or supporting organisational change.
o Experience in education or values-based settings.
o Accreditation or willingness to obtain accreditation to Work in a Catholic School.
