We are seeking an experienced Executive Assistant to join our new and exciting development. This role is responsible for directly assisting the CEO with all business matters and ensuring the smooth day-to-day running of the office. As the organisation is in its early development phase, this role is critical to supporting the strategic and operational trajectory of the institute
**Key Responsibilities**:
- Assist the CEO with all business matters.
- Manage the CEO's mailbox.
- Manage incoming calls to the CEO's office by screening, delegating and responding to calls and acting on behalf of the CEO
- Coordinate extensive diary management for the CEO, ensuring daily commitments are appropriately prioritised
- Travel arrangements for CEO, staff and Board members
- Organise meetings and workshops, and strategy days.
- Take minutes and prepare documentation for Board meetings
- Accounts Payable / Receivable / Purchasing
- Manage general expenditure for the CEO and office
- Maintain management of documentation, records and implement new office systems
**Essential criteria**:
- Minimum 5+ years executive administration experience in a busy and professional environment
- Advanced computer skills in MS Office (Outlook, Word, Excel and PowerPoint)
- Highly developed organisational skills with the ability to prioritise tasks and meet deadlines in a fast-paced environment
- High level attention to detail
- Strong organisational and time management skills with the ability to multitask
- Outstanding customer service
- Excellent interpersonal and communication skills
- Strong written skills
- Ability to work autonomously and within a team
- Ability to follow instructions and take directions
- Previous administrative experience in a research/health care environment is desirable
