JOB DESCRIPTION
OVERALL PURPOSE OF THE JOB
To provide all the administration and customer service functions required for the efficient operation of Team Global Express. This function supports the Administration Supervisor and is involved in all clerical activities. This role requires excellent communication, (written and verbal) and organisation skills within the Team Global Express team.
PRIMARY DUTIES & RESPONSIBILITIES
* Contribute to the highest standards of Customer Service support by diligently attending to customer facings tasks, answering the telephone, handling enquiries and relaying messages in a professional, detailed and prompt manner to achieve the best possible customer experience
* Addressing and resolving stakeholder queries in a timely manner
* Utilise Toll Systems to complete administration and customer service tasks
* Where required provide coverage within administration to ensure reception is manned
* Core operational data entry (connotes) are processed and correctly entered into Tollworks each day
* Prioritise work throughout the day and complete in a timely manner
* Prepare weekly wages and reconciliation reports for Revenue and reporting
* Provide administrative support to the operations team as and where required
* General clerical duties and urgency in the work performed
* Maintain staff, training and compliance databases
* Ensure that all training is recorded and sent to Training Coordinator for upload into Learning at Toll
* Assist Administration & Branch Manager in on-boarding and off-boarding employees as well as arranging necessary pre-employment inductions
o Ensuring all paperwork required is completed in a timely manner and sent to the HR team
o Copies of licences and Right to Work documents are taken
o Annual Medicals are booked
o Ensuring exit checklist is completed
o Organising exit interview
* Raising/processing PO’s in Oracle and processing invoices
* Assist Branch Manager with following up licences and medicals in collaboration with the team
* Assist with and follow up return to work plans
* Assist Branch Manager in answering any queries concerning training, holidays and payroll
* Support in ensuring that payroll is processed accurately and efficiently
* Implement and maintain paper-less procedures and electronic administration processes
* To maintain quality and urgency in the work performed
* Order uniforms when required
* Generate reports for Administration & Branch Manager
* Identify opportunities to reduce costs and improve efficiency in procedures, report these to the manager and assist in correcting these
* Use initiative to follow up and resolve situations, access help and assistance as required
* Maintain a high work standard.
* Manage office based stock and inventory to ensure minimal wastage – place stationary orders as required
* Commitment to safety – identify inefficient or unsafe work practices – report hazards to management, and within defined levels of authority, address hazards directly in an appropriate manner.
