About the Role Do you have a high attention to detail, excellent organisational skills and enjoy working both independently and in a small, dedicated team? As a member of the Schools Records team supporting the Records Reform Program, the Records Management Officer is responsible for * * Leading and supporting archiving visits in schools across Victoria to prepare records to off-site storage * coordinate and allocate tasks to team members ensuring school archiving visits are completed efficiently and within the required timelines * appraise and sentence physical records and classify these applying the appropriate Records Disposal Authority and retention classification * advise school-based staff on records management requirements and best practice * actively contribute knowledge and subject matter expertise to team members and other internal and external stakeholders * provide a range of operational services relating to records management, archives, logistics, procedure development * lead and work collaboratively with the departments off-site storage provider to transfer long term temporary records from school to storage * Under general direction, undertake a range of tasks/activities to support the management of the department records collection: * Support the appraisal and listings of incoming long-term temporary school records into off-site storage * Contribute to the development and implementation of improved records collection management practices and procedures for on-site/off-site storage collections * Assist in the preparation of reports to provide Records Reform Program related statistical information as requested * Provide support to the Team Leader and Manager School Records Reform Program * Work with other teams based on business needs Please note this role involves manual handling, including lifting boxes and manoeuvring trolleys to move and retrieve boxes of records from temporary storage locations. This position requires the ability to travel state-wide, including regular overnight stays and at times will also require working at the department's off-site storage service provider. About the Division The Assurance, Knowledge and Executive Services Division (AKESD) has the following functions under the Assurance Branch, Knowledge, Privacy and Records Branch, and Executive and Ministerial Services Branch: * Internal audit, VAGO audits, School Council Financial Assurance program * Cabinet and Parliament support, including board appointments * Freedom of Information * Briefings and correspondence support * Departmental Liaison Unit * Privacy advice and support * Records and digital content management, SharePoint and copyright advice and support * Mail services The Knowledge Privacy and Records Branch within AKESD is responsible for leading the department's management of corporate knowledge, privacy, intellectual property, and records. This accountability includes leading and supporting departmental compliance with relevant legislation and standards. About the Department The department provides a wide range of learning and development support and services. The department provides policy leadership, plans for the future of education in Victoria and leads key cross-sector collaboration. The department plays an important system steward role by providing support, guidance, oversight and assurance across early childhood and school education systems, as well as directly providing school education and 50 new early learning centres. Attributes * Proven records management experience, particularly in processing and sentencing hardcopy records in a large organization * Strong knowledge and understanding of the Public Records Act 1973, PROV Records Disposal Authorities and Standards * Excellent organizational skills and attention to detail * Exceptional stakeholder management skills, effectively dealing with uncertainty and resolving issues constructively * Demonstrated ability to be proactive, taking initiative and accountability for actions * Excellent team player with an ability to collaborate across the team to achieve team goals * Ability to work in a fast- paced environment * Integrity and discretion in handling sensitive information. Desirable Qualifications and Experience * Proven experience in records and information management. * Knowledge of records management principles, retention and disposal authorities. * Relevant qualification in records management, or equivalent experience.
