Role Purpose

Own the end‑to‑end single‑strain raw‑materials procurement, strain‑level supply planning, and inventory control in a GMP environment to meet customer demand reliably without over‑ or under‑stocking and with optimal working capital. This role:

* Supports sales and procurement functions to align stock availability with commercial priorities;

* Improves operational efficiency, cash flow and profitability through disciplined planning, supplier coordination, and API/flower/extract inventory control.

Key Outcomes (12–18 months)

* Service: ≥ 95% strain‑level fill rate on committed orders; ≤ 2% stockouts on A‑strains.

* Inventory: +25–40% improvement in raw/intermediate inventory turn rates; material reduction in holdings of older raw materials.

* Cash: Shorter cash conversion cycle via milestone/deposit billing and acceptance‑based supplier payment terms.

* Quality: ≥ 98% lot acceptance for preferred suppliers; zero critical GMP findings.

* Commercial visibility: Accurate “available‑to‑sell” and “priority” stock lists issued to Sales weekly, including incoming timelines and new strains.

Core Responsibilities

1) Demand & Supply Planning (Strain‑Level)

* Run a rolling 13‑week S&OP and weekly MPS; convert Sales forecasts to strain‑level plans with frozen/semi‑frozen windows.

* Maintain ATP/CTP by strain; manage allocations for scarce strains.

* Set and maintain safety stocks by class; review monthly.

* Lead supply & demand planning for bulk and white‑label flower and extract lines, ensuring alignment to production capacity and sales priorities.

* Frequent Sales alignment on available/priority stock; Finance cadence for invoicing/payment tracking on overseas cultivators; Logistics alignment on international freight.

2) Procurement & Contracting

* Place and manage conditional POs (aligned with approved procurement plans), quantity bands, and option‑style reservations (pre‑harvest), with title‑on‑assay/acceptance terms.

* Negotiate assay‑adjusted pricing, substitution within potency bands (single‑strain only), and shortfall/make‑good clauses.

* Track and approve payment milestones, and liaise with freight/logistics providers end‑to‑end; provide regular reporting to Finance and Senior Management.

3) Supplier Development

* Operate a preferred‑supplier program with scorecards (OTIF, potency variance, contamination, documentation).

* Support clonal/strain SOPs and pre‑harvest sampling.

* Act as primary point of contact for key local and international suppliers, with emphasis on overseas cultivators (including Thailand).

4) Intake, Quality & Compliance

* Orchestrate rapid intake assays and lot grading within 24–48 hours of receipt; trigger accept/rework/reject promptly.

* Maintain complete lot genealogy (raw → intermediate → FG) in LIMS/QMS.

* Maintain the strain & product database (COAs, photos, POs, invoices) ensuring records are accurate and current.

5) Inventory, Warehousing & Logistics

* Set reorder points/min‑max and shelf‑life controls for raw and single‑strain intermediates.

* Coordinate micro‑releases and partial shipments; align cash with milestones.

* Manage API/flower/extract inventory systems (inventory management system, tracking sheets, and relevant ERP modules as implemented) with clean documentation and audit readiness.

6) Commercial Alignment

* With Sales and Production, run strain reservations/allocation for key customers; communicate available/priority stock, incoming timelines, and new strains.

* Educate on potency bands and COA acceptance criteria.

7) Working Capital & Risk

* Maintain accurate cash flow forecasts of committed and planned purchases.

* Distinguish firm POs vs options/reservations to reduce speculative exposure.

* Maintain risk register (crop, assay drift, logistics, regulatory).

8) Continuous Improvement & Reporting

* Drive SOP and dashboard improvements across forecasting, inventory, and reporting as the business scales.

* Publish monthly KPI pack (see KPIs) and executive S&OP summary.

Qualifications & Experience

* Preferred: 5–8+ years in materials planning / buyer‑planner / procurement within GMP/GxP (pharma/nutra/food/ag‑biotech).

* Experience with biological/seasonal raw materials and lot variability; S&OP/MRP; supplier negotiation; intake/QC and COA handling; logistics.

* Systems: ERP/MRP + LIMS/QMS; strong Excel for analysis/reporting.

* Bonus: TGA familiarity; agronomy/plant/cannabis‑based APIs; international sourcing.

* Advanced Excel/Sheets (Power Query/pivots), dashboarding/BI.

* Ability to develop and maintain reports/dashboards covering stock levels, supply pipeline, and sales support metrics.
