An exciting full-time temporary opportunity is now available for an experienced Legal Services Administration Officer with a local government department located in Ipswich. You'll provide comprehensive and efficient administrative support to the team including document registration and file maintenance in Objective, preparing and updating reports, internal mail processes, maintaining and archiving hardcopy legal records and assisting with the preparation of legal briefs. This is a hands‐on opportunity to contribute to meaningful projects, support high-quality engagement, and strengthen relationships with stakeholders.
Key Responsibilities:
* Provide financial administration support to the Legal Services department, including purchase orders and invoices, billing, the processing of transactions in Fusion and receiving goods/services.
* Organise solicitors' attendance at CPD training seminars, workshops and conferences (including calendar appointments, parking, travel or accommodation requirements).
* Administrate the delivery of internal and external training (including organising room bookings, appointments, catering, set up, pack down, RSVPs, and registration of training materials).
* Manage minor legal enquiries using approved precedents and templates.
* Assist with conduct of Complaints and Summons and similar Court and litigation processes.
* Contribute towards the success of the Prosecution Panel process through the administration of various related tasks including setting panel dates and booking meeting rooms.
* Assist with client/customer enquiries and undertake research in connection with matters arising from same, or research as directed.
* Provide support to the Executive Assistant and Paralegal including assistance to cover the key accountabilities and workflow of that position when the incumbent is on periods of leave.
To be considered for this opportunity you will be able to demonstrate;
* Demonstrating experience in an office administration environment including use of computer technology.
* Suited to someone who can work independently, exercise sound judgment, and communicate effectively with internal and external stakeholders.
* Strong written communication and document‐drafting skills.
* Demonstrating high‐level organisational skills to prioritise and manage multiple tasks effectively.
* Strong interpersonal skills and an ability to maintain relationships with internal clients and external stakeholders and suppliers.
* Ability to manage competing priorities in a fast‐paced environment.
Due to the nature and responsibilities of this position, consent to a national criminal history check will be required prior to any offer of employment being made (and any record of disclosable court outcomes or pending charges will be considered based on relevance to the position being applied for).
Based on current business needs, we anticipate that this temporary assignment will be required for an initial period of 4 months with potential for extension.
