What Success Looks Like
You are highly organised, proactive, and thrive in a fast-paced environment. You love bringing clarity to complexity and enjoy working closely with a dynamic Managing Director. This role blends executive support, personal administration, and office coordination, ideal for someone who takes pride in keeping everything running seamlessly.
A typical day will see you:
•Manage the Managing Director's calendar, inbox, and to-do list to optimise productivity and priorities
•Provide personal support to the Managing Director with errands and tasks as required
•Coordinate meetings, agendas, minutes, briefing papers, and professional meeting packs for Board and Executive sessions
•Ensure the Managing Director and Chairman are fully prepared with documentation and review time prior to scheduled meetings
•Capture and track action items, assign tasks in Microsoft Teams, and follow up to maintain accountability
•Organise domestic and international travel, including detailed itineraries, documentation, and approvals
•Manage personal and business expenses, invoices, and credit card reconciliations accurately
•Maintain contact records in HubSpot and oversee filing systems for easy retrieval
•Manage office maintenance and service providers to ensure a professional environment
•Provide flexible support to the Executive Team to ensure smooth operations across the business
Is This You?
You are passionate & driven by the unique opportunity to work closely with the Managing Director, gaining valuable exposure to high-level decision-making and strategic leadership.
In addition to this you:
•Have 5 years' experience as an Executive Assistant within the property, building, construction or legal industry
•Are tech-savvy and proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams) + Hubspot (preferred but not essential)
•Possess outstanding organisational and time-management skills and can work autonomously.
•Are a strong communicator with excellent interpersonal skills and the ability to manage high-level relationships.
•Thrive in a fast-paced, dynamic environment and adapt easily to shifting priorities.
•Office coordination experience, overseeing maintenance, cleaning services, supply management & catering.
