Position Description
The Executive Assistant provides administrative support for Managing Directors on managing professional scheduling including agendas, phone calls, client management and other company/team related support. This role combines executive assistant duties with office management responsibilities to ensure the efficient operation of the office and a welcoming environment for clients and staff.
Key Responsibilities
Executive Assistant Duties:
* Provide executive assistant support to four to five Managing Directors.
* Drafting and editing correspondence, scheduling appointments, maintaining calendars, etc.
* Coordinate internal and external meetings including but not limited to team meetings, full staff meetings, all hands meetings, off-site meetings, one-on-one meetings, etc. (in person or virtual room set up, meal / gift ordering, etc.)
* Effectively interface with employees from other business units within A&M and senior executives both inside and outside the company.
* Work cross-functionally with corporate enabling teams including IT, HR, marketing, AP, legal, and building maintenance to ensure smooth business operations.
* Planning, coordinating, and executing special projects and events.
* Work closely with Remove Administrative Assistants to manage Managing Directors’ expenses, travel and timesheets
Office Management Duties:
* Monitor and manage office supplies.
* Assist with the maintenance and cleanliness of the office environment.
* Assist in organising and coordinating office events.
* Monitor and manage access cards.
* Assist with onboarding process for new hires, offboarding process for exiting employees
Qualifications & Skills Required
* High school diploma or equivalent; associate’s degree or relevant certification preferred.
* 12+ months experience in similar role.
* Extensive administration experience supporting senior executives with excellent communication skills and high levels of confidentiality.
* Strong relationship management skills, ability to build a personal network throughout the company as a trusted team member
* Excellent computer and calendaring skills to include a working knowledge of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams), Salesforce, Concur, file sharing software (i.e., Box).
* Strong problem-solver, self-motivated and a great team player.
* Demonstrated ability and willingness to continuously acquire new competencies and accept new challenges.
* Professional demeanour and ability to maintain confidentiality.
Working Conditions
* Full-time position working from 8.45am until 5.15pm daily Monday through Friday.
* During probation, this role has a requirement to be in the office 4 times a week, one day working from home due to the nature of the role & its responsibilities.
