If you are, then Yarrabing Secondary College is looking for Education Support Staff to join the school.
Yarrabing Secondary College opened in Term 1 2024 and provides the growing local population with great educational opportunities close to home.
It is able to enrol up to 550 students with the stage one facilities.
In 2024 Yarrabing Secondary College opened to approximately 150 Year 7 students and will progressively grow by one year level thereafter.
In 2025, we have Year 7 and Year 8 students only.
Our school grounds are close to planned parklands, sporting facilities, and we are surrounded by a supportive community.
Most students that will attend our school live locally and would tend to walk or ride their bike to school.
Our school will be culturally diverse with 60% of students having a language background other than English (LOTE) spoken in the family home, with the largest LOTE languages being Hindi and Punjabi.

Foundation Education Support Staff will work collaboratively with colleagues and leadership to improve students educational outcomes and to ensure that the school remains on a path of continuous improvement through the application of evidenced-based research.

About the Role
This is a unique opportunity for you to work in the initial development of school processes for a foundation secondary school, growing one year level each year from Year 7 in 2024 to Year 12 in 2029.
Given the school is in the second year of establishment, the teaching, learning and student support practices are based on the latest evidence-based research.
The brand-new facilities support 21st century skills and these teaching and learning practices.

Education Support Staff will be responsible for delivering support for the school staff and student learning environment.
Role
The School Operations Managers fulfils an important organisational role to assist with the efficient and effective daily operations of the College through the deployment of personnel and resources which maximise learning.
It is expected that they will provide a high level of customer service to the student body, staff and visitors to the College and be competent in the provision of up to date and relevant information.
This position is also responsible for maintaining and inputting accurate data for reporting to staff, School Council and Leadership teams.
Accurate data recording is important as it reflects in the provision of information and reports to Families, Staff, School Council and the Community.

Adhering to the College's dress code policy will be required.
The College will follow a strict style guide for the development and publication of correspondence, to ensure a consistent presentation of all school documents.
The School Operations Manager is part of the Administration Team, whose responsibility is to work co-operatively as part of the team, ensuring a productive, efficient workplace.
Responsibilities
Daily Organiser
Oversee the Daily Operations of the College, ensuring all classes and programs are appropriately staffed, and that CRT costs and HR records are effectively and efficiently managed.
Ensure the smooth daily running of the college through management of the replacement process for teachers who are absent
Maintain accurate records of staff absences, providing daily staff absence reports to relevant staff overseeing HR
Monitor the College's Daily Organiser mobile phone and email for notifications of staff absences or changes to work schedule
Notify College Executive promptly for staff absences that require possible additional support
Covering yard duties and other responsibilities for teachers and staff who are absent.
Ensure that teaching coverage is provided by way of teacher extras or in lieus, or where necessary by employing Casual Relief Teachers through approved agencies and School Local Payroll.
Equitably allocate and distribute 'in lieus', extras, or under allotted according to the School guidelines and accurate records are kept
Ensure all staff on extended leave have an appropriate replacement, bringing areas for the need to advertise a position to the attention of the College Executive
Update and publish the Daily Staff Bulletin
Oversee the management of the CRT budget, extras, and under/allotted time, ensuring effective use of human resources.
Manage the booking, induction and daily work of CRTs, ensuring that work is set for classes by absent teachers
Ensure that CRT timesheets or invoices are correct for processing, liaising with the HR Manager to ensure CRT records are maintained and payments arranged.
Maintain CRT induction folders and resources
Maintain an up to date data base for CRT staff information including availability, resumes and VIT registration details
Liaise with employment agencies for CRTs.
School Operations, Timetabling, Systems & Infrastructure
Plan ahead for staff cover for camps, excursions, assemblies, events, professional development days and leave
Prepare the agenda and associated documents for College Operations meetings
Attend College Operations meetings
Support staff to accurately complete all College Operations submissions as per DE and School processes and policies
Monitor school operations email account and respond to emails as directed
Make room changes on the College's Timetable Software as directed
Assist in the development of the staff yard duty roster
Assist in the development and maintenance of the timetable under the direction of the College Executive
Ensure compliance with the Victorian Government Schools Agreement (VGSA) and local agreements & policies.
Ensure all excursions, PDs and staff and room changes are registered on Compass
Complete Timetable administrative tasks related to subject set up and student enrolments into subjects
Maintain daily timetable and yard duty changes, working with the Assistant Principal to import new and updated information
Allocate rooms, ensuring specialist rooms have maximum appropriate use.
Assist in the planning, implementation and communication of special programs and timetables within the school community including;Administrative tasks associated with the implementation of NAPLAN
School Photo and Immunisation Program and associated processes (i.e. following up absenteeism and photo audits)
Exams, Orientation days, Early Commencement, End of Year Activities and Programs
Liaise with Bus Companies on early finish/student free days
Support the organisation and delivery of course counselling processes across the College, ensuring that systems and resources are in place for students to make informed decisions.
Liaise with key staff to ensure timely communication with students and families regarding transitions, subject selections, and associated deadlines.
Assist in the implementation of the Compass Learning Management System and its modules to enhance college systems, operations, and student learning outcomes.
Administration of Compass Templates i.e. Reports, Chronicles, Emails
Assist staff in the effective use of Compass modules.
Ensure integration and functionality between Compass and associated third-party software (e.g., Timetabler, CASES21).
Construct and maintain the whole School Calendar; including the Compass Calendar.
Camps & Excursions
Ensure the appropriate completion of camp/excursion documentation in consultation with teaching staff
Enter Camps and Excursions into Compass Events
Enter details into the DE Student Activity Locator (SAL)
Complete administrative tasks associated with the interschool sport program including event management via compass
Follow up consent approval received from parents
Organise and confirm bookings for venues, activities and transport
Generate purchase orders for accommodation, transport and activities
Generate and distribute lists of students attending with corresponding medical information as necessary
Assist teaching staff in the administration of events
Compile and file Camps and Excursions documentation
Human Resources Administration
Complete and monitor administrative work in eduPay relating to salaries, leave, time fraction changes and other associated work.
Ensure changes to staff employment are documented in letter format and filed accordingly
Administer and document all staff absences in eduPay, ensuring staff submit their leave requests in a timely manner and according to DE guidelines, supporting them to do so if necessary
Prepare employment contracts in accordance with DE guidelines and complete the hire process for all new staff on Edupay.
Communicate & confirm new staff employment details to relevant staff
Maintain spreadsheets with staff workforce planning details and monitor critical dates i.e. contracts, long term leave, parental absences, time fraction changes.
Provide advice regarding conditions of employment and employee relations, lodging calls to DET HR for support as required
Stay abreast of changes to DET HR policy and the VGSA bringing matters to the College Executive's attention as relevant
Manage confidential storage and retrieval of personnel and payroll files.
Other Duties
Perform general education support staff duties as required in the event of absences of other staff including reception and first aid duties in the Administration Office
Maintain strict confidentiality in relation to all staff operations in general.
Ensure work areas are in a clean, safe and orderly condition at all times.
Ensure professionalism, efficiency, cheerfulness, reliability, politeness and teamwork are implemented, followed and supported at all times.
At all times working to create a professional environment, which upholds and displays the schools values of high expectations, collaboration, respect, and responsibility.
Undertake other duties relevant to the field of responsibility as requested by the College Executive

Working hours are 7.30am to 3.36pm including a 30 minute unpaid lunch break.
Education Support Class positions include 50 days (pro rata) of annual and additional paid leave per year which is taken during the school holidays as per the Victorian Government Schools Agreement (VGSA).
