Responsibilities
Customer Service
* Assist in phone enquiries as required including liaising with clinics and/or customers to clarify order requirements
Preparations
* Washing and drying pets for viewings if needed
* Carrying out viewing cremations and gold and platinum cremations as required
* Managing the cool rooms and the pets on hold, liaising with the Client Care team to expedite pets to cremation within guidelines
Keepsakes
* Taking fur clippings from pets in accordance with client requirements
* Preparing pets for office viewings and cremations
* Taking clay paw prints of pets
* Taking ink paw prints on card ensuring quality, clear prints including trimming fur between claws and cutting claws as required
* Taking digital paw print photos, uploading to computer system and creating cards ensuring quality of print in preparation for delivery to client
* Place pet's ashes into urns, wooden boxes and jewelry and finalise preparation of bags to be returned to clients
* Coordinate external product engraving as required ensuring quality control is maintained and aligned with marketed products
Stock Management
* Assisting with warehouse duties, including stock movements, seeing in deliveries and keeping the area neat and tidy
* Unpacking of boxes and stock replenishment from warehouse
* Ordering and receipting in of stock / special product orders as required
* Coordinate with the National Stock Controller internal stock management to ensure location stock control is managed effectively to fulfil client ordering
Safety and Hygiene
* Take personal responsibility for upholding standards relating to presentation, property, hygiene, including prompt reporting of loss, damage, or maintenance needs
* Taking responsibility of reporting hazards and risks that may cause harm or injury, and adhering to WH&S policies and procedures
Administration
* Carry out accurate data entry and reporting via the Pet Tracker database
* Letters; Customs, Burial, Scattering etc.
* Running and checking of reports
* Distribution of clinic resources as required (i.e. Brochures, Pet loss and Grief booklets etc.)
* Packing and organising of return freight for ashes for country-based clients.
* Daily use of a full suite of MS Office software, design packages and bespoke pet management systems through computer interfaces
Quality & Standards
* Adhere to the Company's policies and procedures for all relevant tasks undertaken
* Carry out Quality Control checks in accordance with company policy and procedure
* Prepare, quality check and carry out engraving, ensuring accuracy at all times
* Running Quality Assurance systems and checks on our final products
Collaboration & Teamwork
* Attend and contribute to team and company meetings as required
* Contribute toward a positive team culture and communicate effectively with all team members
* Acts as a buddy or peer-trainer for a new team member. Proficient team members often help onboard newcomers by showing them how to perform tasks correctly, answering questions, and modelling proper work habits. May conduct on-the-job-training for simpler tasks and help foster a supportive team environment
