The team
The Events and Ceremonies team are responsible for the coordination and delivery of the Australian War Memorial's commemorative program, including the annual Anzac Day and Remembrance Day national commemorations, minor ceremonies and events; and official visits to the Memorial. Members of the team are allocated minor events on an individual project basis, while also being assigned a role working with the whole team on the larger national projects. The team work onsite at the Memorial and collaborate with each other, as well as teams across the organisation to ensure the commemorative program is delivered to the high standard for which we are renowned.
The role
Under limited direction, working both individually and as a member of the team, you will provide specialist event planning and delivery. The Senior Coordinator will take lead on more complex projects, coordinate official visits, assist and mentor other team members with their assigned projects as required; and provide a senior coordination role for aspects of the major commemorations.
You will possess excellent administration skills with a strong attention to detail, together with proven high-level event and/or project management experience. A highly organised and motivated individual, you will demonstrate the ability to prioritise and manage multiple projects and competing priorities. You will also be responsible for records, procurement and contract management; and assist in the development of operational documentation, risk management and compliance procedures.
A great team player, you will be able to communicate effectively across a broad range of stakeholders, while supporting the team and managers, keeping them informed of your progress and the broader team.
Core Responsibilities
* Under limited direction and working within established frameworks, coordinate, deliver, and report on events and ceremonies projects and official visits as assigned.
* Prepare high level documentation and records management of assigned events, ceremonies, and visits; in addition to contract and procurement processes in TechOne and WHS risk assessment and management.
* Establish and maintain productive working relationships with both internal and external stakeholders and provide clear and concise guidance relating to ceremonial formats, protocols and technical and production requirements.
* Direct and supervise suppliers, contractors and event support staff in the delivery of projects.
* Actively participate and contribute to team and section meetings and discussions; and assist in the ongoing development and improvement of team operational documentation, procedures and policies.
* Mentor less experienced team members and oversee work tasks and activities.
* Represent the Memorial at meetings and various forums as required and manage client and stakeholder expectations.
* Undertake manual handling tasks on a wide range of projects including but not limited to electrical and audio equipment, bollards, barriers and other items used for events and ceremonies.
Additional Notes
* There are no media or marketing aspects in this position.
* This position is required to work outside core business hours, on weekends, public and school holidays as needed. All staff are required to work during the peak periods of March, April, October and November for the preparations and delivery of the Anzac and Remembrance Day national commemorations.
* Manual handing is a requirement of the position.
* This position may be required to obtain and maintain a Designated Security Assessment.
* A written task will be included in the interview process.

* Under section 22(8) of the Public Service Act 1999, employees must be Australian citizens to be employed in the Australian Public Service (APS).
* All applicants external to AWM that are offered employment will be required to successfully undergo a National Police Check, even if they currently hold a security clearance. The check is conducted in accordance with the Australian Government Protective Security Policy Framework requirements.
