About This Role
We are seeking a highly organised and adaptable Administration and Finance Support Officer to join our team at Eating Disorders Queensland (EDQ). This is a fast-paced role, ideal for someone with exceptional attention to detail, strong communication skills, and the ability to manage competing priorities with a calm and proactive approach.
You will support core business functions including finance administration, payroll support, and office coordination. You will be the first point of contact for many of our clients and stakeholders and must be able to maintain professionalism and confidentiality at all times.

About Eating Disorders Queensland (EDQ)
EDQ is a state-wide, community-based not-for-profit organisation delivering compassionate, evidence informed, and client-centred services for individuals experiencing eating disorders, as well as their carers and key support people. Our multidisciplinary team offers therapeutic and psychosocial supports, carer and lived experience peer support, and early intervention education initiatives across Queensland. Key Responsibilities
Administrative Support
• Welcome clients, visitors, and stakeholders in a professional and warm manner
• Respond to phone, email, and in-person enquiries
• Office setup and shutdown every day
• Provide accurate information about EDQ's services and programs
• Maintain client and office records in line with confidentiality and policy requirements
• Coordinate meetings, travel, catering, and event logistics
• Support the CEO and broader team with administrative tasks
• Maintain office supplies, organise equipment servicing and cleaning rosters
• Enter client data into the client management system
Finance and Payroll Support
• Assist with fortnightly payroll administration using Employment Hero and timesheet data
• Process invoices and reimbursements in Xero and Hubdoc
• Track and upload supporting documentation for financial transactions
• Liaise with the accountant as required
• Support financial record-keeping for grant acquittals and reports
• Ensure accurate and timely data entry for financial records

Key Selection Criteria
* Demonstrated experience in administrative support roles, preferably in not-for-profit or allied health settings
* Experience or ability to learn finance systems including Xero, Hubdoc, and Employment Hero
* Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
* Ability to manage a diverse workload in a fast-paced environment
* Experience with or willingness to learn client management and Medicare systems
* Excellent interpersonal and customer service skills

* Relevant qualifications in administration, business support, or similar
