Job Title
The Administrative Support Specialist role is available to assist with daily operations, providing seamless administration of employee timesheets, payroll, and job costing data.
Key Responsibilities
1. Enter and maintain accurate records in SUCCESS FACTORS and the Job Cost Portal.
2. Track and record staff absences, leave requests, and attendance for effective workforce planning.
3. Maintain up-to-date rosters for efficient scheduling.
4. Prepare pre-shift reports, safety quizzes, and toolbox meeting materials for enhanced safety standards.
5. Compile, monitor, and update key performance indicators (KPIs), including field interactions, inspections, and hazard reports for improved decision-making.
6. Assign and follow up supervisors' safety KPIs weekly via Teams to ensure accountability.
7. Coordinate and send final inspection documentation as required to meet regulatory requirements.
8. Review and process courier invoices in Coupa for cost optimization.
9. Manage uniform orders and office supplies for a productive work environment.
10. Close and update work orders in PRONTO for streamlined workflows.
11. Finalize fortnightly payroll runs to ensure timely payment.
12. Conduct monthly fuel card costings to optimize expenses.
