Primary objective
To provide efficient dental stores support services and high-quality reception and administrative services to clients and staff of
Oral Health Service.
Key duties and responsibilities
1. Assist in providing comprehensive and efficient stores service for Oral Health Service including processing of dental stock
requests, arranging delivery of completed orders for all clinics, undertaking receipt of dental items and storing of received items
following the defined quality standards.
1. Ensure rotation of stock and conduct regular audits of stock levels held within the areas.
2. Perform and provide assistance in the annual stocktake.
3. Provide assistance to supply officer in the day to day management of inventory and serve as a proxy in the absence of supply
officer.
5. Accurately record all in and outbound store activity in Excel Spreadsheet, Records Management System HPECM and Inventory
Management system (Qantel).
6. Provide specialist support to record data in Inventory Management System (Qantel), Client Management System (Titanium) and
Records Management System (HPECM).
7. Provide high level reception services to new and existing clients, including patient eligibility confirmation, registration,
appointment scheduling, rescheduling and confirmation.
8. Assist with maintenance and auditing of client records, waiting lists and recall lists.
1. Assist with general administrative responsibilities under the direction of the administration manager as and when required
10.Actively participate in quality improvement activities and staff development programs.
Selection criteria
Essential
1. Demonstrated working experience in a stores environment with an ability to carry out repetitive physical work.
2. Experienced in reception duties, client scheduling, administrative procedures and responsibilities.
3. Well-developed written and verbal communication and inter-personal skills.
1. Demonstrated ability to organise and prioritise daily tasks with great attention to details to meet competing demands, respond
to supervisory direction and work with minimal supervision.
5. Demonstrated experience in computer applications including word, excel, mail, Inventory Management Systems and Patients
Management Systems.
6. Demonstrated ability in records and systems maintenance for the effective delivery of client services.
1. An understanding of, and commitment to, ongoing service improvement including quality improvement, occupational health
and safety and professional development.
8. An ability to interact effectively with people from diverse cultures.
Desirable
1. Experience with use of an electronic management system such as Titanium and Qantel.
