As their business continues to grow, they're now seeking a dynamic and capable Administration Assistant / Client Service Associate to support both the Financial and Advisory team and the wider firm.
Your new role
As an integral member of the Brisbane team, this diverse and fast-paced role combines client service, office coordination, and broad administration support. This role will suit a self-starter with strong attention to detail, outstanding interpersonal skills, and a proactive approach to problem-solving.
Key responsibilities include:
* Provide high-level administrative support to Financial Planners/Advisers.
* Coordinate office duties, including reception, switchboard management, and visitor experience.
* Assist with the development and processing of financial advice documents and investment proposals.
* Ensure timely settlement of stock transfers and facilitate client fund movements.
* Prepare routine correspondence and liaise with third parties, such as accountants or Superfund administrators.
* Manage general office duties, including filing, archiving, travel bookings, document processing, and mail distribution.
* Maintain and stock office supplies, kitchen essentials, and promotional materials.
* Set up and coordinate meeting rooms for internal and client events.
* Maintain the reception area to a professional standard and monitor client needs during visits.
What you'll need to succeed
To be successful in this role, you will bring a professional and positive attitude, along with a strong commitment to client service and internal team support.
* Proven experience in administrative or client service support roles within financial services or professional services environments.
* Proficiency in Microsoft Office Suite and confidence in working with client databases and financial documents.
* High-level organisational skills with the ability to multitask across varied responsibilities.
* Excellent verbal and written communication skills.
* A warm, polished, and professional presence as the first point of contact at reception.
* Strong attention to detail and a proactive, hands-on approach to problem-solving and task ownership.
* Capacity to handle confidential information and work effectively under pressure.
* A team-focused attitude and willingness to assist across different departments when required.
