About the role: The Administration Support Officer is responsible for roles within the Transit Safety Division across three functional areas. Logistics - Maintaining, sourcing, and purchasing of operational equipment, including the management, auditing, and maintenance of Transit Safety Division Police vehicles. Property – TPSC Property Office is responsible for the receipt, storage, transit, disposal, and auditing of approx. 10,000 property items that are managed by Transit Safety Division, Specialist Response Division, Security Services Division and Family Violence Command within the Spencer Street Police Complex. The primary role of TPSC Property Office is to facilitate the efficient processing of exhibits and property through a centralised facility that is safe and secure. Administration - Provide a wide range of administrative support functions, receive, record and distribute mail including preparation and administrative management of many court files. Manage a high volume of data entry and filing, ensuring accuracy and confidentiality is applied to all records and databases. Attend enquiries from internal and external stakeholders, provide initial information and advice where required Victoria Police is a contemporary and agile workplace and supports flexible working arrangements. Your duties will include: Undertake a range of administration and clerical functions to support Transit Safety Division including, the maintenance & management of various Police operational assets. Creation and processing of purchase orders including the payment process. Sourcing and procuring Police assets for Transit Safety Division. Manual handling and transportation of exhibits across storage sites. Auditing and maintenance of Police assets and exhibits to ensure compliance. Stakeholder liaison through telephone, electronic communications, and face to face meetings. Updating Transit Safety Division operational manuals to be accurate, up to date and relevant always. Preparing routine correspondence and data entry with a high level of detail on a range of administration matters and attending to follow-up procedures as required. Provide general office support within the Transit and Public Safety division. About You: The successful candidate will ideally have the following skills and experience: Experience in working with Microsoft Office software to perform a range of administration tasks including, records management, auditing, data entry and word processing tasks. Ability to accurately maintain administration records or data bases. Good communication skills, with the ability to communicate effectively with a wide range of Transit Safety Division stake holders. Ability to work in a team environment, contributing towards team goals. Good organisational skills, with the ability to multitask. Understanding of the customer service requirements of the position, demonstrating a record of strong commitment and achievement in meeting customer needs. A proven record of ethical behaviour and a demonstrated commitment to Victoria Police Code of Ethics and Conduct, Financial Code of Practice, and the Organisational Values. Further Information: One (1) x full-time, ongoing position available. This position is located at Victoria Police Centre, 311 Spencer Street, Docklands.
