HOBAN Recruitment is recruiting for the role of APS 5 level Project Support Officer on behalf of our client, a respected Federal Government department located in Barton / Canberra ACT. We are seeking a professional and proactive individual to support high-level meetings and projects within the Diplomatic Security Division.
About the Role: As a key member of the division, you will provide high-quality project and secretariat support across a range of committee, board, and tender meetings. Your day-to-day will involve:
Scheduling and coordinating high-level meetings
Drafting clear and concise correspondence for executive review
Collating and summarising meeting documentation and dashboards
Taking accurate minutes with awareness of strategic priorities
Maintaining both electronic and hardcopy records
Monitoring project document status and proactively managing risks
Liaising with stakeholders and directing queries appropriately
Accessing, editing, and storing files in SharePoint using Microsoft Office tools

About You: To be successful in this role, you will have:
Demonstrated experience supporting committees and executive meetings
Strong organisational skills with attention to detail
Experience drafting formal documentation, minutes, and dashboards
Proficiency with MS Office and SharePoint file management
Ability to work autonomously and as part of a team
Strong stakeholder engagement and communication skills
Desirable:
Experience using TRIM (Content Manager)
Confidence assessing project status and taking proactive actions
Ability to tailor messages for diverse audiences
Experience developing or updating policies, frameworks, or procurement documents
Excellent prioritisation skills and flexibility to meet evolving demands
