Administration Officer

This role is for an Administration Officer who will be the first point of contact for residents and clients, both in person and over the telephone, as well as coordinating the smooth running of the day-to-day operations of the residential facility.
The successful candidate will be responsible for:
* Responding and directing all telephone and over-the-counter enquiries in a professional and courteous manner.
* Effectively managing basic enquiries from management, staff, residents & their families, volunteers, and clients, ensuring that issues are appropriately and efficiently redirected.
* Arranging all catering requirements for relevant meetings and ensuring meeting room setup and takedown is undertaken efficiently.
* Providing accurate and efficient word processing, data entry, and filing.
* Providing administrative support to the facility team in relation to their day-to-day operational activities as required.
* Undertaking secretariat duties for the relevant team meetings, ensuring the proficient production and distribution of agendas, minute-taking, and issuing of minutes.
* Ensuring office supplies are maintained at an appropriate level, including conducting a formal inventory analysis monthly.
* Coordinating all employee timesheet administration, including follow-up, checking, and submission to Head Office.
* Maintaining all annual leave and sick leave forms and records, ensuring lodgment of appropriate leave forms by employees and submission to Head Office.
* Administering accounts processes, including preparation of all cheque requisitions, supplier invoices and receipts, and supplier payment lists for transmission to the organisation's Financial Department.
To succeed in this role, you will have:
* Previous administration experience, preferably in an aged care setting.
* Strong organisational and multitasking skills.
* Demonstrated competence in word processing, data entry, and filing.
* Demonstrated problem-solving, prioritisation, and a high level of written and oral communication skills.
* Ability to work collaboratively within a team, as well as the confidence to work independently.
* Willingness to travel and hold a clear driving licence.
