The Executive Assistant (EA) to the CEO and Board is a highly skilled and trusted professional responsible for providing high-level administrative, strategic, and logistical support to the Chief Executive Officer and the Board of Directors including the President and Board Chair. This role requires exceptional organisational abilities, discretion, interpersonal skills, and the capacity to manage a wide range of confidential and time-sensitive matters with professionalism and efficiency.
The EA will act as a critical liaison between the CEO, Board members, senior leadership, and external stakeholders, ensuring seamless communication and efficient operations across all executive and board functions.
You'll be a part of a team of 12 at the Torrens Parade Grounds in a beautiful heritage building with a brand new fit-out. Key Responsibilities
Support to the CEO
Manage the CEO's calendar, schedule meetings, coordinate travel arrangements and ensure effective time management.
Draft and distribute accurate minutes of monthly board meeting and maintain official records in accordance with legal and governance requirements.
Assist with organisation of Annual General Meeting and associated governance requirements.
Prepare, proofread, and edit correspondence, reports, and presentations.
Handle confidential information with discretion and act as a gatekeeper for internal and external communications.
Coordinate logistics for meetings, speaking engagements, and other CEO-related events.
Assist with the preparation and tracking of executive priorities, projects and initiatives.
Support to the Board – specifically President and Board Chair
Manage the President and Board Chair's calendar, coordinating Section and Group visits, travel, letters, commemorative events, organising floral wreaths and tributes
Print out monthly Board pack and any other documents required by President and Board Chair
Coordinate all Board and committee meetings, including scheduling, room booking and catering logistics and distribution of agendas and meeting materials.
Serve as the primary point of contact for Board members, ensuring timely communication and follow-up on action items.
Support onboarding and orientation of new Board members.
Operational and Strategic Support
Act as a liaison between the CEO and internal departments and external partners.
Anticipate needs and provide proactive support to ensure the CEO and Board operate at peak effectiveness.
Manage and maintain a system for tracking strategic goals, Board resolutions, and key performance metrics.
Lead or assist with special projects and events as needed.
Key Selection Criteria
Proven experience (5+ years) as an Executive Assistant, ideally supporting a CEO and/or Board of Directors.
Experience in corporate governance, Board operations, or nonprofit administration is a plus.
Proficient in Microsoft Office Suite, calendar management tools, and board management software (eg. Our Cat Herder or similar).
Excellent written and verbal communication skills.
High degree of professionalism, confidentiality, and emotional intelligence.
Strong organisational and time-management skills with a proactive, detail-oriented approach.
Ability to work independently, prioritise tasks, and adapt in a fast-paced, dynamic environment.
Judgment and Discretion: Handles sensitive matters with absolute confidentiality and professionalism.
Communication: Builds strong relationships with internal and external stakeholders; clear and diplomatic communicator.
