Primary objective
The Administration Officer provides a high level of administrative and financial support for client focused service delivery to frontline staff and clients in the Greater Darwin Region.
Key duties and responsibilities
* Ensure the provision of efficient and effective administrative support in a high paced service delivery environment.
* Ensure purchase orders (PO's) are completed in accordance with legislation and agency policies and procedures and ensure PO invoices are paid after receipt of goods and services as per policy.
* Provide support and general procurement advice to staff for Tier 1 purchases.
* Responsible for business and financial support ensuring accuracy and integrity of data, working with high volume transactions in a dynamic environment subject to strict deadlines.
* Provide training and support to child protection staff on whole of government, Agency and work unit administrative processes and procedures including travel, finance, and procurement.
* Undertake compliance checks and audits of financial processes and actions and take corrective action where issues are identified.
* Undertake any other duties as directed by the Business Manager or Business Support Officer.
* Participate in the Department's After-Hours Service and assist in delivering the Department's statutory welfare group responses in accordance with the Emergency Management Act.
Selection criteria
Essential
* Demonstrated experience as a pro-active administrator with the ability to train an administrative team in a frontline service delivery environment with strong client conflict resolution and customer service skills.
* Proven experience providing high level administrative support and advice including auditing financial reports, records management, procurement, and reception functions.
* Demonstrates emotional resilience in difficult circumstances and responds positively in a high pressure, and at times, confronting work environment.
* Demonstrated ability to carry out financial investigations; manage own workload and objectives, including exercising initiative, discretion, problem solving and decision making at the delegated level of responsibility.
* Proven ability to develop, maintain and provide advice on procedures for administrative processes such as procurement, assets, travel, and records management.
* Highly developed interpersonal and written communication skills with the ability to negotiate outcomes in an ever-changing environment.
* Ability to work independently and within a team environment and the ability to interact effectively with people from diverse cultures.
Desirable
* Sound working knowledge of TRM (Territory Records Manager) or other similar electronic record management systems.
* Knowledge of whole of government policies and procedures, including records management, procurement, and financial management.
* Current Northern Territory driver's licence or the ability to obtain.
