We are seeking a highly organised Operations & Office Manager to take ownership of our administration, coordination and operational systems as the business continues to grow.
This is a key leadership role within the business, working closely with the directors and supporting both office and site teams.
Role
This role is responsible for ensuring the day-to-day operations of the business run smoothly, including job administration, compliance documentation and office management.
The position suits someone who enjoys systems, organisation and problem solving, and who takes pride in building efficient processes.
Key Responsibilities
Operations & Job Management
Set up and manage jobs within job management software
Prepare quotes, invoices and job documentation
Track project progress and ensure documentation is complete
Coordinate schedules between office and site teams
Maintain job files and documentation systems
Compliance & Documentation
Prepare and maintain project documentation including SWMS and permits
Maintain licenses, training records and compliance registers
Office & Systems Management
Oversee day-to-day office operations
Manage emails, document control and filing systems
Support implementation of business systems including:
Safety & Compliance software
Job Management software
Microsoft suite
About You
We are looking for someone who is:
Highly organised and detail oriented
Proactive and able to work independently
Comfortable managing multiple priorities
Experienced in office or operations management
Strong with systems and technology
Authorised to work in Australia
Experience & Skills
Preferred experience includes:
Minimum 1-2 years of office or operations management experience
Construction, trades or contracting industry experience
Job management systems (Fergus or similar)
Intermediate proficiency in Microsoft Office Suite applications
Strong written communication and documentation skills
Experience preparing or supporting tender submissions highly regarded
