Operations Coordinator (Job Share) – 2–3 days/week

HMB Barbers | Brisbane (office-based, with store visits as needed)

HMB Barbers is a fast-growing, multi-site barbershop group with 18 stores across Queensland. We're looking for an organised, calm and capable Operations Coordinator to join our head office team in a job-share arrangement—keeping our stores running smoothly across maintenance, stock, systems support, suppliers and launch/admin logistics.

This is a hands-on coordination role. You'll be the link between stores, suppliers and head office—triaging requests, keeping issues moving, and making sure nothing falls through the cracks.

Job share structure

* This is a job-share with an existing Operations Coordinator.
* The split is flexible: the current coordinator is seeking 2 days/week, and may extend to 2.5–3 days depending on the successful candidate's availability.
* The goal is reliable weekday coverage for store support and continuity.

What you'll be doing

* Be the central operations contact for stores and escalate issues appropriately
* Log, triage and coordinate maintenance requests (quotes, scheduling, follow-up to completion)
* Coordinate retail product and consumables ordering across stores (par levels, supplier cut-offs, delivery tracking)
* Collate stocktakes, flag variances and follow up with stores/Area Managers
* Support POS/telecom/iPad administration and troubleshooting (and liaise with providers)
* Manage printing/signage and distribution of approved in-store materials
* Maintain registers (devices, access/cards) and keep ops documentation/checklists current
* Support new store openings/refits with coordination checklists, orders and setup readiness
* Provide structured operational updates and improvement recommendations to leadership

What we're looking for

* Proven coordination/admin experience in multi-site retail, hospitality, or service businesses
* Strong follow-through: you close loops, chase actions, and keep others accountable
* Confident communicating with stores, trades, suppliers and leadership
* Comfortable with systems and registers (Square or similar ideal), Microsoft 365, retail inventory systems
* Practical judgement: you can prioritise, triage and escalate appropriately
* Calm under pressure and solutions-focused
