The Opportunity
Working with an entrepreneur / founder-led family office and operating group based Nationally, but lives locally is seeking a highly organised, discreet Executive Assistant to bring structure, clarity, and momentum across a growing portfolio of businesses and investments.
This is a rare opportunity to work closely with an entrepreneur and investor managing consumer brands, agricultural assets, hospitality projects, and advisory ventures as well as social / web content across Australia and overseas.
You'll be the trusted right hand — filtering information, driving projects forward, working with group GM's, CEOs or boards, as well as clients and potential opportunities (Being a 2nd face), protecting time and focus, and ensuring things actually get done behind the scenes. No one day will be the same
The role can start at 3 days per week, with the option to move into a full-time position for the right person. Long term, this role is designed to evolve into a true Chief of Staff position..

* Blue Sky Drinks Co. – a fast-growing Australian beverage group building premium, independent brands with various brands and assets
* Aloha Ventures – a family office and advisory arm focused on investment, M&A, and venture building with several notable brands in Australia
* BizBuilders - Online Business Coaching for small business owners with dashboard technology
The work spans board-level activity, growth projects, property and agricultural assets, and new ventures.

What You'll Do
Inbox & Executive Administration
* Monitor and triage email and communications
* Draft correspondence and manage follow-ups
* Maintain a clear weekly and monthly action list
* Act as a trusted filter and gatekeeper and 2nd face
* Keep the entrepreneur on track
Chief of Staff / Operations Support
* Coordinate priorities, reporting rhythms, and weekly workflows - working with 3-4 offshore staff to assist task allocation
* Track projects, deadlines, and owners across multiple businesses
* Prepare agendas, briefs, and notes for meetings
* Ensure follow-through after decisions are made
Financial & Legal Coordination
* Reconcile expenses and manage documentation if and when required or delegating to relevant teams
* Liaise with accountants, lawyers, and advisers
* Support compliance, entity administration, and reporting
Projects, Property & Assets
* Coordinate contractors and advisers
* Attend site or online meetings where required or on
* Keep momentum on longer-term initiatives
Travel, Lifestyle & Logistics
* Arrange travel and logistics
* Ensure continuity during periods of travel
* Coordinate schedules across work and personal commitments
Stakeholder Communications
* Act as the primary point of contact for advisers, contractors, and service providers
* Confidently deal with a wide range of stakeholders — from tradies to board members

About You
Experience
* Ideally 5+ years supporting founders, executives, family offices, or high-net-worth individuals
* Proven ability to manage complex, multi-stakeholder projects
* Comfortable operating with autonomy and trust
Skills
* Strong administrative systems (Google Workspace and/or Microsoft 365)
* Bookkeeping or finance coordination experience (Xero, MYOB, or similar)
* Project management capability — timelines, budgets, trackers
* Excellent written and verbal communication
* Ai / Tech first thinking
