What's your role?
The Executive Assistant to the Managing Director (MD) is responsible for providing executive level support to create an efficient, organised working environment for the MD and wider Health Services Leadership Team, in a highly complex global business environment.
What will my day involve?
* Providing high-level professional personal assistance to the Managing Director, Health Services.
* Preparing and distributing agendas, minutes, reports, and other documents for meetings and events, ensuring accuracy and timeliness, including end-to-end logistics for regular Leadership Team meetings.
* Managing the annual calendar; heavy daily calendar management; email traffic management across multiple time zones; coordinating meetings and functions
* Acting as a first point of contact for the Managing Director Health Services; receiving, prioritising and distributing incoming calls, emails and mail; maintaining work/life balance and focus on strategic priorities.
* Managing the domestic and international travel arrangements, adhering to our travel policy and procedures, and ensuring full use of time when travelling.
* Developing and delivering key internal communications on behalf of the Managing Director Health Services.
* Organising and co-ordinating team activities, such as workshops, training, social events, and recognition programs.
* Nurturing a dynamic and collaborative culture as we transform and grow the business.
* Supporting the implementation of processes, policies, and standards, and contribute to continuous improvement initiatives.
* As a member of the Executive Assistant team, holding regular meetings, annual offsites and engagement activities to ensure a cohesive EA team
* Financial administration, ensuring all invoices and credit card expenditure is processed in an accurate and timely manner, and allocated to the correct account and cost centres.
* Creating, monitoring, and maintaining good relationships with multiple internal and external stakeholders
* Mentoring, supporting and developing the Personal Assistant community within Health Services.
* Undertaking special projects and assisting with general duties as required; such as proof reading and drafting team communications; compiling and publishing regular and ad-hoc reports for the team; other duties as required by the Managing Director Health Services.
* Handling confidential and sensitive matters with discretion and professionalism.
What will I bring?
* 10+ years providing executive assistant support at C-level
* Impeccable organisational skills with the ability to prioritise work effectively, whilst always having a 'can do' attitude
* Proven ability to meet strict deadlines in an organised manner
* Proven problem identification and resolution skills
* Strong customer service focus
* Proven track-record of delivery within a complex organisation with diverse business portfolios.
* Experience in handling sensitive information with the utmost of discretion
* Excellent verbal and written communication skills, with attention to detail and accuracy
* Strong interpersonal and relationship-building skills, with the confidence to liaise with stakeholders at all levels
* Ability to prepare meeting materials based on raw materials, including board papers.
* Proactive and flexible approach, with the ability to manage competing priorities and work under pressure
* High level of integrity, confidentiality, and discretion
* Positive and collaborative attitude, with a passion for delivering high-quality service and support.
