The Role


We are seeking a highly organised and proactive Project Coordinator / Team Scheduler to support the successful delivery of projects by coordinating schedules, resources, and communication across multiple teams.

This role plays a critical part in ensuring projects run smoothly, deadlines are met, and client commitments are delivered to the highest standard.

Key Responsibilities

* Coordinate and maintain project schedules, timelines, and workforce allocations
* Schedule field teams, meetings, and project activities across multiple projects
* Monitor project progress and proactively identify risks, delays, or resource conflicts
* Act as a central point of contact between project managers, teams, and clients
* Prepare project documentation, reports, and status updates
* Support project planning, onboarding, and workflow coordination
* Optimise scheduling processes using AI and automation tools
* Ensure compliance with WH&S requirements and the Quality Management System
* Support revenue generation through effective workflow management, reporting, and invoicing
* Maintain strong client relationships, ensuring all commitments are met accurately and professionally

Who We're Looking For


To thrive in this role, you will demonstrate:

* Proven experience in project coordination, scheduling, or workforce planning within a fast-paced environment
* Strong organisational and time-management skills with exceptional attention to detail
* A commercial mindset with a strong client-focused approach
* Excellent problem-solving skills and the ability to manage competing priorities under pressure
* Strong communication and stakeholder coordination skills
* Proficiency in Microsoft Office and Xero, with experience using scheduling or project management tools
* Confidence working with AI-powered tools and adapting to digital transformation
