The Role:
We are seeking a warm, empathetic Receptionist to be the first point of contact for our clients. This part-time role supports our psychologists and allied health professionals by managing appointments, billing, administration, and daily practice operations. You will report to the Practice Manager and play an essential role in delivering exceptional client service.
Key Responsibilities:
* Greet and assist clients warmly by phone and in person
* Schedule and confirm appointments using electronic diary software following triage guidelines
* Manage client billing, Medicare claims, invoicing, and payments accurately
* Maintain confidentiality and securely handle client information
* Perform administrative tasks including document preparation and data entry
* Manage purchasing and accounts payable
* Support general practice operations and maintain an organised reception area
What We're Looking For:
* Experience in reception or healthcare administration
* Strong diary management and administrative skills supporting clinical teams
* Proficiency with practice management software (e.g., Zanda)
* Excellent computer skills (Microsoft Excel, Word, Outlook)
* Ability to work independently and show sound judgment
* Demonstrated empathy and care for clients with complex mental health needs
* Current National Police Check
Desirable:
* Qualifications in business, medical, or health administration
