Role Overview
This position is based in Australia. The School of Mathematics and Statistics delivers a large and diverse teaching program across undergraduate and postgraduate coursework, with assessments conducted in a range of formats including written examinations and computer‐based tests. Ensuring these assessments are conducted fairly, securely, and efficiently is essential to maintaining academic standards and a positive student experience.
The Examinations Support Officer plays a key operational role in delivering invigilated assessments, including computer‐based lab exams and pen‐and‐paper exams. As the on‐site invigilator, you are responsible for ensuring assessment sessions run smoothly, fairly and in line with university policy, School procedures and course requirements.
Working closely with Project and Teaching Support Officers, Exam Coordinators and technical support staff, you will coordinate exam delivery on the ground. This includes supervising casual invigilators, managing issues in real time, and acting as the escalation point during assessment sessions.
This role focuses on operational delivery rather than academic support—you will not interpret exam content, but will ensure processes are followed consistently and issues are handled appropriately.
Reporting to the School Manager, this role has no direct reports.
Key Responsibilities
* Coordinate and invigilate computer‐based and paper‐based exams, including set‐up, delivery and pack‐down.
* Prepare exam venues and computer labs, including basic IT set‐up and troubleshooting to support assessment delivery.
* Maintain a calm, safe and well‐organised assessment environment.
* Manage student check‐in processes, including identity verification, attendance and seating.
* Supervise and guide casual invigilators, allocating tasks and providing on‐the‐day direction.
* Respond to operational, technical and student‐related issues, escalating where required.
* Apply university and School procedures consistently, including academic integrity processes.
* Liaise with academic staff on matters outside standard procedures.
* Record incidents and complete post‐exam reporting accurately and promptly.
* Maintain the security and confidentiality of exam materials and student information.
* Provide administrative support for exam delivery, including scheduling, room bookings, printing and preparation of materials.
* Monitor and maintain exam spaces and computer labs to ensure they remain secure and ready for use.
About You
You may bring an operations, support or administrative background, ideally within a higher education or similar environment. You are practical, organised and comfortable working in fast‐paced, structured settings where attention to detail and consistency are critical.
This role would suit someone with experience in exam operations (but not essential) or a hands‐on support role—including those with an IT support background who are confident setting up and troubleshooting laptops.
You Will Bring
* Confidence setting up and troubleshooting laptops, computer labs or IT systems during live sessions.
* Comfortable learning and using digital assessment platforms and related systems.
* Ability to coordinate tasks and support small teams in a live environment.
* High attention to detail, with the ability to follow and apply procedures consistently.
* Clear and professional communication skills.
* Ability to remain calm and make sound decisions under pressure.
* Good judgement and an understanding of professional boundaries.
* Familiarity with compliance processes, incident reporting, or regulated environments (desirable).
