Key Finance Role
The primary objective of this position is to deliver a high level of financial management and expertise to the organisation.
Responsibilities
* Process all Credit Applications, ensuring prompt and professional notification to clients.
* Establish A/R accounts for newly approved credits and ensure creditor details are correct at all times.
* Accountable for the accurate processing of all A/R accounts.
* Ensure accuracy in Trade Debtors' invoices, guarantee of payment, and room rates.
* Timely transfer of invoices to the City Ledger and prompt emailing/mailing to debtors.
* Complete daily summaries of adjustments related to the City Ledger and distribute as necessary, reconciling with PMS-generated reports at end of shift.
* Regularly follow-up on debtors trading beyond normal terms and notify Financial Controller/Asst. Financial Controller.
* Verify credit card transactions for completeness and promptly liaise with Front Office and bank for disputes.
* Ensure Month End reports are printed and forwarded to the Financial Controller for balance sheet reconciliation.
* Perform 'month end close' of the debtor's system when not interfaced to the Accounting system.
Additional Responsibilities
* Verify invoices for accuracy and authorizations, attaching approved purchase orders and signed invoices from relevant department heads.
* Ensure vendor information is up-to-date in the A/P module.
* Code invoices processed in the A/P ledger with appropriate supplier and general ledger account codes, accounting for Goods and Services Tax.
* Reconcile the inventory system ledger and Accounts Payable ledger at month end to ensure agreement.
* Prepare payment runs strictly following vendor payment terms.
* Reconcile detailed payment run reports with approved invoices and purchase orders, submitting to two bank signatories for supervision before authorizing payment runs.
* Coordinate overseas payments with the bank or available online facilities.
* Reconcile suppliers' statements of account and follow-up on missing invoices.
* Securely file paid invoices by batch payment date and attach system-generated remittance advices.
* Prepare accruals journals to cover outstanding purchase orders and goods/services received without invoices, re-occurring expenses.
* Regularly monitor the A/P ageing report and follow-up on credit notes/missing invoices.
