We have an opportunity for a Project Administrator to join our Community Development team of engineers, designers, and drafters in Regional Queensland. Our approach to community development consulting covers master planned communities, mixed-use developments, parks, recreation facilities, and streetscapes. The Project Administrator is the ‘go-to person’ supporting Project Managers in setting up new projects, managing changes for ongoing projects, monitoring and forecasting financials, developing and updating project schedules, and reporting on project performance indicators.
This role may involve working with multiple PMs across a range of projects, from small to highly complex. Project controls may include task management of project components, as delegated by a project manager, especially on smaller projects.
This position can be based in Cairns, Townsville, Mackay, Rockhampton, or Wide Bay.
Day-to-day tasks may involve:

Assisting PMs in delivering projects according to the Stantec Project Management Framework, focusing on budgets, scope, schedule, profitability, and risk.
Implementing established project control processes, including earned value management, change management, and cost/revenue forecasting.
Checking that contract and sub-agreement approvals comply with company policies, and that insurances and prequalification questionnaires are current.
Supporting the development of project implementation plans for internal or external clients.
Generating reports from Oracle dashboards to analyze project performance.
Evaluating financial results and providing summaries of project performance.
Supporting decisions to mitigate negative impacts of underperforming projects.
Organizing and scheduling communication, including meetings, minutes, and action items.
Responding promptly to internal and external requests.
Understanding monthly reporting and financial update requirements.
Monitoring unbilled financials and supporting timely invoicing.
Monitoring accounts payable and supporting project close-out processes.

To be successful in this role, you'll need:

Relevant work experience as a Project Administrator, ideally in consulting engineering or related fields.
Experience in generating and analyzing financial reports.
Business acumen, with knowledge of project costs, time, and resource management.
Understanding of project management principles.
Strong interpersonal and communication skills.
Excellent administrative skills, attention to detail, and documentation management.
Problem-solving skills with timely escalation when necessary.
Ability to manage multiple projects and adapt to changing priorities.
Proficiency in Microsoft Excel; experience with Primavera P6 or similar scheduling software is preferred.
