Transcend Health is seeking an experienced, warm, and highly organised
Client Experience & Administration Coordinator
to join our multidisciplinary allied health clinic in Newcastle.
This role suits someone who enjoys creating exceptional client experiences, thrives on organisation and systems, and is interested in a
longer-term pathway into practice management
.
About the Role
* Part-time position (3–4 days per week)
* Potential to increase to full-time
as the clinic grows
* Clinic hours:
11:00am – 7:00pm, Monday to Friday
* Some flexibility available, including earlier finishes when appropriate
* Commencement: February / March 2026
* No weekend work
You will be the
first point of contact
for clients and play a key role in ensuring the clinic operates smoothly each day.

Key Responsibilities
Client Experience & Front Desk
* Welcoming clients via phone, email, and in person
* Managing bookings, enquiries, and client communications
* Handling payments, invoicing, and appointment coordination
* Creating a calm, professional, and welcoming clinic environment
Administration & Operations Support
* Supporting clinicians with daily workflow and clinic operations
* Maintaining accurate records and documentation
* Upholding confidentiality, privacy, and professional standards
* Assisting with scheduling changes, problem-solving, and client concerns
* Contributing to continuous improvement of systems and processes
Future Growth Opportunity
For the right candidate, this role has the potential to expand into a
Practice Manager position
, with increased responsibility across:
* Clinic operations and systems
* Team coordination and rostering
* Compliance and quality processes
* Financial and administrative oversight
* Supporting business growth and strategy
About You
* Experience in
healthcare or allied health administration
(highly regarded)
* Professional, reliable, and emotionally intelligent
* Strong communication and organisational skills
* High attention to detail and ability to manage multiple priorities
* Proactive, solutions-focused, and comfortable taking ownership
* Experience with
Medicare, NDIS, DVA, or insurance-based funding
is an advantage
