About the position

In line with the strategic vision of the College and its policies and procedures, the Business Support Officer provides high-level administrative and project management support to the College, including:

* financial and human resources administration

* operational support.

The part time role (FTE 0.8) will:

* Support the Director of Business and Operations to build and maintain financial and human resources systems for the College that support forward business processes and appropriate risk management

* Manage a streamlined process for accounts receivable and accounts payable, including accurate and timely recording of supplier invoices and customer invoices.

* Manage a streamlined process for payroll and HR record management, including accurate and timely updates to the College’s online system

* Provide data-driven advice to the College Leadership Team on matters pertaining to finance, payroll and operations

* Support the use of the College residential management system (StarRez) to manage student fees, and

* Undertake other duties as reasonably required by the Director of Business and Operations.

Responsibilities

Finance

* Manage the College’s accounts receivables to support sustainable cash flow

* Work with students and families to establish mutually agreed payment plans

* Manage ancillary fee remissions and payments, including scholarships and bursaries, sibling discounts

* Manage accounts payable to ensure invoices are processed accurately and paid on time, and credit card expenses comply with College policy

* Maintain donation and donor records across relevant systems, including banking platforms, MYOB and Potentiality

* Process month-end journals, including prepayments, accruals and adjustments

* Manage payments to the Duchesne College Student club where the College acts as their agent in line with the MOU and agreed processes.

* Prepare and submit statutory and government compliance returns, including BAS, FBT, superannuation, franking credits and Work Cover

* Prepare regular bank and investment reconciliations

* Monitor cash flow requirements to ensure timely payment of operational expenses and loan commitments in line with Council-approved facilities

* Support budget preparation, forecasting and income and expenditure reporting

* Assist the College Leadership Team to identify financial risks and opportunities

* Maintain and review the College asset register

* Support the continued digitisation of finance records including SharePoint, DocuSign, MYOB and Employment

* Support the use of the College residential management system (StarRez) to manage student fees

HR/Payroll

* Support the human resources function in accordance with the College’s policies and procedures

* Maintain HR records with Employment Hero and assist with HR and payroll reporting

* Prepare and process the fortnightly payroll, including superannuation and employee-related accounting

* Coordinate with the Dean of Student Life to onboard tutors and ensure accurate payroll processing

* Manage blue card applications and maintain accurate and up to date records through the Queensland Government Blue Card Services Organisation Portal

* Support the continued digitisation of HR records and documentation

Qualifications and Experience

* Relevant tertiary qualifications in accounting, business administration or a related discipline, or an equivalent combination of education and experience

* Demonstrated experience in financial administration and payroll processing

* Sound knowledge of accounting principles, practices and procedures

* Experience working within an educational environment is desirable.
