About the Role
We are seeking a highly organised and proactive Administrative Assistant with experience in financial planning or financial services to support our advisory team. This is a key role within the business, providing high-level administrative, client service, and office support to ensure smooth day-to-day operations and an excellent client experience.

Key Responsibilities
Manage adviser calendars, schedule meetings, and coordinate client appointments.
Act as a primary point of contact for clients, providing professional and timely communication.
Prepare client documents, reports, Statements of Advice (SOAs), Records of Advice (ROAs), and meeting materials.
Assist with client onboarding and maintain accurate, compliant client records.
Gather and collate financial information to support the preparation and implementation of financial plans.
Update and maintain CRM systems and financial planning software.
Liaise with external providers, product issuers, and service partners.
Support daily office operations, including managing supplies, coordinating vendors, and assisting with workflow and process improvements.
Skills & Experience
Previous experience in financial planning or the financial services industry is essential.
Strong administrative, organisational, and time-management skills.
High attention to detail with excellent written and verbal communication skills.
Experience using CRM systems, financial planning software, and Microsoft Office (Word, Excel, Outlook).
Ability to handle confidential information with discretion and professionalism.
