Vocational Education and Training (VET) Administrator

Role Overview: Provide office support to teams within ILSC Education group for smooth daily operations and support all students across Greystone college campuses in Australia.
Responsibilities
* Provide support to students' general and academic inquiries via VET student support email and on-campus support
* Prepare intake information and send relevant communications to students, including updates to Moodle and the Odyssey student management system
* Check student entry conditions, verify USI numbers, and follow up required forms and eligibility checks (academic progress, English level, prerequisite completion)
* Place students in classes using Odyssey and issue qualification certificates, statements of attainment, and official letters
* Manage student access on Moodle for graduating students and those with outstanding payments
* Send general announcements, reminders, and notifications to students
* Support VET graduation ceremonies and prepare course delivery resources such as classroom setups and attendance sheets
* Input data into Odyssey, PRISMS, and update VET Student Records (VSR)
* Record credit transfers between courses and send booking information to students on Academic Progress (AP)
* Communicate with the VET National Administration Manager regarding updates, concerns, and considerations
* Support VET Administration staff nationally through regular communications, daily meetings, and an open-door mentality
* Collaborate with National VET Academic, Advisors, National Quality Assurance, National Registration, Global Curriculum, Global Sales, Global HR, and Global Executive teams
* Contribute to Work Health and Safety identification and participation in committees

* High level of emotional intelligence and ability to effectively manage conflict and difficult situations
* Ability to maintain composure and balance workload and conflicting priorities
* Technology proficiency with Microsoft 365, Moodle (LMS), Odyssey, SharePoint, and other relevant platforms
