Job Summary
The Administration Officer provides high-level administrative and operational support to the Office of the Vice-Chancellor. With a front-of-house presence, the role ensures efficient delivery of executive functions and smooth coordination of day-to-day activities, maintaining the professionalism and responsiveness of the Vice-Chancellor's office.
Key Responsibilities
Provide executive support to the Vice-Chancellor and senior leadership, including scheduling, correspondence, and travel arrangements.
Manage the office's day-to-day operations, ensuring timely completion of tasks and effective communication with internal and external stakeholders.
Coordinate governance processes, supporting meetings, documentation and reporting as required.
Maintain confidentiality of sensitive information and handle high-volume administrative tasks efficiently.
Qualifications & Requirements
Education, training and / or experience equivalent to completion of a degree, or completion of an associate diploma with subsequent relevant work experience.
Demonstrated digital literacy including experience in a range of software packages, word processing and large-scale databases.
Ability to use initiative, judgement, and analytical skills to solve problems and manage competing priorities to deliver outcomes within agreed timelines.
Highly effective written, verbal and digital communication skills with proven ability to prepare data summaries, reports and briefing notes, making use of visualisation techniques.
Ability to work autonomously in an agile work environment and as part of a collaborative team focused on delivering high standard of client service.
Proven ability to manage time and high-volume tasks efficiently, as well as respond positively to unexpected challenges on short notice.
Ability to handle and monitor sensitive information within a confidential environment.
