ABOUT THE ROLE
A critical role within Hogarth's Operations team, the Photography Studio Coordinator is accountable for the successful day-to-day coordination of Hogarth's Carlotta Studios facility based in Artarmon Sydney.
A Centre of Excellence in studio-based ecom and stills photography production, you will be instrumental in supporting the team that delivers a high volume of content for one of Australia's leading national retailers.
This pivotal position ensures seamless studio operations and readiness, efficient bookings and logistics, meticulous gear management, optimal facilities maintenance, strict WHS compliance, and effective front-of-house management.
You will be instrumental in upholding our commitment to operational excellence and supporting our dynamic production environment.
Reporting Lines :
The Photography Studio Coordinator reports to the Studio Manager and works closely with Producers and Sample / Ecom team.
Key Responsibilities
Front-of-House Coordination: Coordinate front-of-house duties including opening and closing of the studio; managing reception; visitor sign-in/out; EOD checklists; lost property; and managing office and kitchen supplies, stationery orders, and associated budgets.
Bookings & Logistics: Facilitate bookings for studios, parking, and equipment for Producers, ECOM Studio Manager, and external parties, assisting with managing associated logistics and timelines.
Production Support: Coordinate with producers to ensure timely bump-in / bump-out of onset requirements, ensuring safe and efficient movement of people, product, and equipment.
Support production workflows with Sample / ECOM / Producers, including sample tracking and care tags.
Studio Readiness: Maintain studio readiness by ensuring shoot machines are updated, performing monthly monitor calibrations, and replenishing consumables.
Conduct daily walk-throughs to uphold operational readiness and cleanliness; identify and mitigate OH&S risks.
Gear Management: Manage gear operations including allocation and tracking, gear room access control / codes, asset records, and readiness.
Oversee equipment lifecycle: coordinate hires, deliveries / collections, maintenance / repairs, basic diagnostics, storage, and disposal.
Facilities Oversight: Support national operations team in the coordination of facilities requirements including premises upgrades, repairs and maintenance, building security systems, vendor oversight and cleaner performance; coordinate annual BDS clean-outs; and manage associated project budgets.
Safety & Compliance: Responsible for safety and compliance, including Fire Warden duties (team, drills, ERP updates), WHS / fire compliance, and first aid training programs across Hogarth Australia.
Continuous Improvement: Proactively look for and document smarter ways of working, and uphold quality through rigorous checks.
Communication & Time Management: Ensure clear stakeholder communications (internal and external); exhibit excellent time management skills, with the ability to effectively prioritise simultaneous demands and adapt and respond appropriately with relevant stakeholders.
WHAT YOU'LL BRING
Proven experience in a coordination, operations, or administrative role, ideally within an ecom or photography based studio, production company, or similar fast-paced environment.
Exceptional organisational skills and meticulous attention to detail, capable of managing multiple concurrent tasks and maintaining high standards.
Strong communication and interpersonal skills, able to interact confidently and clearly with diverse internal teams, external vendors, and visitors.
A proactive and solutions-focused approach, with the ability to identify issues, conduct basic diagnostics, and implement effective resolutions.
Operational awareness and a solid understanding of logistical coordination and facility management.
A commitment to workplace health and safety (WHS) principles, with relevant experience or willingness to undertake specific training (e.g., Fire Warden, First Aid).
Proficiency in managing bookings, schedules, inventory, and contributing to budget oversight.
Curiosity and a drive for continuous improvement, always seeking more efficient and effective ways of working.
Ability to work both independently and collaboratively within a dynamic team.
