Administration Associate

Location: Macquarie Park, Sydney, Australia.

Permanent, full‐time role with competitive remuneration and benefits.

What You Will Do

* Set priorities with advanced organisational and judgement skills.
* Provide administrative and operational support to the General Manager and Senior Leadership Team (SLT) as guided by Senior Associate Administrative Services, while maintaining discretion and confidentiality.
* Deliver accurate, timely information aligned to policies and procedures.
* Collaborate effectively with internal and external stakeholders at all levels.
* Ensure compliance with SOPs, policies, legal hold and company's ethical standards.
* Support the Animal Health Commercial division as Privacy Steward Coordinator, cascading compliance communications, maintaining policy, training and audit repositories, and notifying the SLT of compliance concerns.
* Arrange travel and logistics for external customers at local and international meetings; provide internal meeting support including arranging and attending meetings, conferences and functions, and managing travel and accommodation.
* Support and mentor peers, participate in cross‐functional teams and provide leave cover and act as backup for Senior Associate Administrative Services.
* Assist with commercial administrative activities including contract management, purchase and meeting expense card reconciliations, SharePoint maintenance, business card coordination, purchase orders, invoice processing, induction training, phone and tablet inventory, and other administrative initiatives.

What You Must Have

* Tertiary qualifications.
* Prior proven administrative and corporate environment experience.
* Experience supporting directors, managers and multiple stakeholders at all organisational levels and within high‐performing teams.
* Curious, with willingness to question, find new ways of working and confidence to speak up.
* Effective cross‐functional teamwork capabilities and excellent collaboration skills.
* High attention to detail, coordination and organisation with excellent time management and ability to manage competing priorities.
* Confident using technology and standard office and communication equipment in an activity‐based workplace, with intermediate to advanced skills in Word, PowerPoint, Excel and Outlook; experience with SAP and managing programme platforms.
* Drive and motivation to meet and exceed individual and team goals.
* Unquestionable ethics and integrity.
* Excellent verbal, written and presentation skills in English.
