We're on the hunt for an organised and proactive Personal Assistant to support our Sales Manager/Director in a high-performing, fast-paced real estate office. If you're a natural multitasker who thrives in a structured environment and has a sharp eye for detail, this could be your perfect fit.
About the Role
You'll play a key role in the sales process – from pre-listing through to settlement – ensuring every step runs smoothly. This is more than just a PA role; it's a hands-on position where your input directly impacts results. You'll be liaising with vendors, trades, buyers, stylists, and internal teams to keep things moving and on track.
Key Responsibilities:
* File signed authorities and request sales contracts
* Load vendor and property details into our CRM
* Manage all sales compliance documentation
* Coordinate marketing: booking photos, floorplans, copywriting, trades & stylists
* Facilitate quotes and approvals for styling and maintenance
* Lock in auction and open times, confirm with vendors
* Build marketing material (brochures, DL flyers) and launch listings
* Send buyer SMS invites and post-inspection messages
* Manage contract distribution post home opens
* Liaise with councils and strata for rates, signage, and reports
* Prepare listing kits and OFI packs
* Create and proof advertising copy
* Organise and track marketing tasks including signboards and deliveries
* Handle CRM data entry and tagging (enquiries, buyers, anniversaries)
* Assist with testimonials and Rate My Agent reviews
* Wrap and deliver gifts for settlements
* Raise commission invoices and manage post-sale admin
About You:
* Real estate experience preferred (sales admin or PA role ideal)
* Strong organisation, time management & communication skills
* Ability to juggle multiple tasks with confidence
* CRM experience essential (we use VaultRE)
* A positive, can-do attitude and ability to work independently
* High attention to detail and strong follow-up skills
