The Indian Ocean Territories Administration (IOTA) is seeking a high performing individual to fill the role of Office Manager of the Office of the Administrator of Christmas Island and the Cocos (Keeling) Islands during the term of the current Administrator. The Office Manager will provide a high-level of operational and secretarial support to the Administrator, while ensuring the smooth running of the office.
During the term of the current Administrator, this role will primarily support the Office of the Administrator with the possibility to transfer to Senior Administrative Officer duties supporting another service stream at a future date at IOTA's discretion.
Based on Christmas Island, the Office Manager will manage the Administrator's diary and communications, organise meetings (including travel and reimbursements) with internal and external stakeholders, arrange functions and events hosted by the Administrator, coordinate briefings and draft correspondence on behalf of the Administrator, and provide secretarial support to a range of diverse forums, where required.
Our ideal applicant has exceptional organisational skills, the ability to manage a number of tasks simultaneously and to work under pressure to meet deadlines. They will demonstrate experience in managing administrative and financial operations of an office including diary, meeting and travel management. They will have well-developed interpersonal skills, with a proven ability to establish and maintain positive and productive relationships.
The successful candidate will have excellent verbal and written communication skills, including experience in drafting correspondence and / or providing secretarial support. They will demonstrate a high-level of personal motivation, sound judgement and initiative, a flexible attitude and approach to work, and an ability to work as part of a small team. Proven experience in management of diverse projects, including the ability to plan and manage projects on time and within budget, and experience of working and living in a small, remote community, will also be highly regarded.
To be considered, applicants must hold a current driver's licence transferable to the Indian Ocean Territories and will be subject to pre-employment screening and health assessment. The ability to obtain a Baseline Security clearance with the Australian Government Security Vetting Agency is an essential requirement for this role.
