STEAA(WA) is seeking an experienced, well-organised, and efficient Administrator to join our Association. This is an exciting opportunity to work with our team of music teachers in offering a diverse program of music and professional development events to our members.
STEAA(WA) is an association of music teachers offering instrumental tuition and an early childhood music program following the philosophy of Shinichi Suzuki. It has a membership base of around (200) families and teachers and is a leading provider of music education with interstate and international counterparts.
The position offers an opportunity to work closely with our Executive across all aspects of our Suzuki Music program and provides an opportunity to develop your skills across all areas of administration. Your skills will be applied to both the day-to-day administration requirements, implementation, maintenance and responsibility of systems and procedures, and working with our members to ensure that events and programs are carried out to the best they can be.
Key Responsibilities & Job Description
Your role is to operate on behalf of, and at the direction of, the STEAA(WA) Executive Committee.
Administrative Management Responsibilities:
This role includes support of our membership base, handling day to day administrative functions and tasks inclusive of:
* Providing general assistance to family and teacher members
* Providing customer service to inquiries from the wider public
* Managing Association calendar of events
* Accessing PO Box – mail collection
* Answering/forwarding emails, calls and queries
* Organising STEAA(WA) documentation
* Using hardware/software required for the smooth running of the Association (Microsoft Office Suite, Xero Accounting Software, Hello Club Membership and Events Portal, Mail Chimp.)
* Making updates as directed on the Suzuki Music WA Website
* Assisting with promotion and registrations (via Trybooking, Hello Club, etc) for Association events (workshops, graduations, solo days, concerts)
* Compiling Association Newsletters – Microsoft Publisher
* Sending on all Teacher Training enquiries and documentation to the STEAA(WA) Teacher Training Administrative Committee. General administrative support of this Committee as required.
* Communication with the PPSA (Pan Pacific Suzuki Association) in conjunction with the STEAA(WA) PPSA Representative.
* Maintaining, on a weekly basis, a detailed, written log of your working hours and administrative tasks completed.
Financial Management Responsibilities:
This role involves handling all financial aspects of the Association at the direction of the STEAA(WA) Executive such as:
* Managing and keeping accounts (payable/receivable)
* Invoicing and collecting funds through the Hello Club Membership and Events portal (memberships, fees)
* Providing receipts
* Maintaining register of members (database)
* Banking (reconciliation of accounts) and paying bills
* Providing annual statement (to 31 Dec) of Accounts and Balance Sheet
* Ensuring compliance with financial regulations (eg GST obligations of Budgets, BAS processing)
* Liaising with the Accountant for the Association
STEAA(WA) Executive Committee Responsibilities:
By extension of your paid role as an employee of STEAA(WA), you will be required to hold office on the STEAA(WA) Executive Committee in an Ex-Officio, nonvoting, capacity as Treasurer and Secretary. Your term as an Office-bearer automatically will cease at cessation of your employment with STEAA(WA).
This position involves handling all aspects of the Financial and Secretarial roles on the STEAA(WA) Executive Committee in accordance with the STEAA(WA) Constitution This document is available to you on request.
Matters under consideration at STEAA(WA) Executive level remain confidential until such time as you are directed to communicate information to the wider STEAA(WA) Family or Teacher Membership bases.
You will be paid to attend quarterly Executive meetings in keeping with this Job Description and your written Contract.
Terms of Employment:
Office Hours:
2 days (10 hours) per week, may be adjusted when need be and when determined in conjunction with STEAA(WA) Executive. Set days and times per week, with occasional flexibility on these times. Your workdays and times will be agreed upon between yourself and the Executive Committee. You will not be expected to respond to requests outside of these set hours, except in exceptional circumstances.
Contract Terms:
12-month contract with the possibility of longer-term extension after such time as it is deemed by the STEAA(WA) Executive that a positive and efficient working relationship has formed.
3-month probationary period.
Regular performance management and feedback in collaboration with the President and Vice-President.
This is currently a flexible remote work position with occasional travel required for meetings, tasks, and STEAA(WA) events.
4 weeks notice needs to be provided in writing for any planned absences/holidays that may impact your set working days. STEAA(WA) will make exception to this requirement in the event of an emergency or exceptional circumstance.
Hourly rate:
Employee
$36.00 per hour exclusive of superannuation +12.0%
Paid annual and sick leave
Contractor
$40.00 per hour – no superannuation or paid leave
Selection Criteria and Prerequisite Skills:
A background demonstrating the skills and experience as per the above Job Description is essential and Music Industry experience, although not a pre-requisite, will be highly regarded.
