**The Role**

The Officer, Purchasing & Administration will be involved in the coordination and management of ICT purchase requests for the organisation including quotations, ordering, receiving, reconciliation, auditing and logging of ICT purchase requests and related equipment. The position also provides support to the Chief Digital Officer through administrative duties including reception, invoice processes and document management.

This role is a 12 Month Contract.

Some of the duties of the role will include...
- Liaise with stakeholders in resolving purchase issues and incomplete request forms.
- Ensure the integrity of the ICT purchase system by validating proper authorisation.
- Follow purchase processes; electronically reconcile requests, quotes, invoices, and items received.
- Coordinate the return of faulty equipment that is under warranty.
- Electronically track mobile phone purchases and record IMEI, phone numbers, and mobile devices in a central log.
- Provide support to Managers and staff in resolving queries related to ICT purchase requests.
- Follow-up outstanding or overdue quotes, orders, purchase requests and ordered items.
- Participate in regular auditing of purchase requests to ensure process integrity.
- Order ICT office equipment, supplies and stationary.
- Provide administrative assistance to the CDO including minute taking, document review, printing and collation, calendar management, travel bookings, reception.

**Ideal Experience & Skillset**
- Experience in a purchasing/procurement/contracts management role with a customer service focus.
- In-depth and broad understanding of purchasing and procurement and financial processes and procedures.
- A background in administrative tasks including diary management, meeting coordination and minute taking.
- Demonstrated experience in managing vendor relationships.
- Advanced skills in Microsoft Outlook, Word, Excel, and PowerPoint
- A pragmatic 'can do' approach to meeting time and quality requirements in a complex and challenging business and technical environment.
