Job Title: Administrative Officer
We are seeking a highly organized and efficient Administrative Officer to join our team. The successful candidate will be responsible for providing administrative support to the centre, ensuring the smooth day-to-day operation of the office.
Key Responsibilities:
* Provide administrative functions and confidential administrative support for the centre including word processing, data entry, spreadsheets, photocopying, filing activities, and taking minutes at various meetings.
* Assist other staff with administrative issues and assist with the preparation of memorandums, reports, and correspondence.
* Support the maintenance of office communication and technology, including photocopiers, printers, and computers.
* Answer general enquiries at reception, direct visitors as required, screen telephone calls, and redirect enquiries to appropriate areas of the office.
* Manage mail and maintain a mail register.
* Undertake procurement activities to ensure centre resources are adequate, including stationery and miscellaneous office supplies.
* Process human resources paperwork, including timesheets, leave forms, and payroll documentation.
* Perform opening and closing procedures.
* Conduct banking as required.
* Maintain a filing and recording system, ensuring confidentiality of all documentation handled.
* Ensure the security of files and access by relevant staff and approved external agencies.
* Ensure records and data for the Integrated Offender Management system (IOMs) are accurate and current.
Requirements:
* Degree in Business Administration or related field.
* Minimum 2 years' experience in administration.
* Excellent communication and organizational skills.
* Ability to maintain confidentiality.
* Proficient in Microsoft Office software.
